 Duties and responsibilities:

KEY AREAS OF ACCOUNTABILITY: Procurement and Facilities Tasks  Manage and request petty cash advance for any requird logistics work. (Such as advance/instantly paid fees with Traffic Authorities, Casual labor for loading/offloading …etc)  Vehicle and generators supplies: Responsible for fuel, lubricants, vehicle and generators spare parts and related supplies and produce periodic consumption report/stock status report.  Follow(up the with procurement process)and ensure vehicles and generators claims are paid within the SCI payment terms.  Responsible to conduct purchase of all goods of low or medium value as defined in the Procurement Manua

Goods purchase Requests: Responsible to receive, review, and accept or feedback with comments/ receipt acknowledgement to the requesters; responsible to forward the reviewed and accepted PR for inclusion in the tracking sheet. Produce the monthly procurement tracker  Single Quotation Purchase: responsible to collect the quotes and process the “Single Quotation” purchases  Quotations collection: Responsible to prepare the paper work needed to effect collection of quotations; conduct the collection of the quotes and take action either forwarding to the Formal quotation committee action or retain for his/her action in Simple quotations  Quotation analysis & approval: in case of Simple quotation, prepare CBA sheet, process the approvals, negotiate with the supplier, process approval of the PO, effect the purchase,  Delivery of the purchased goods: Responsible to ensure that the purchased goods are delivered to the store for GRN to be produced,  Follow up with the Procurement Committee: in case of Formal quotation, follow up with the committee, to get their recommendation (CBA) approved, and process approval of the PO …etc.  Payments to supplier/contractors: Responsible to prepare request for payment and follow up with finance until payment is made. Fleet Management  Ensure all vehicles are mechanically sound and in good condition at all times according to drivers standing instructions.  Ensure that all drivers adhere to SCIS policy and procedures for vehicle services maintenance and conduct driver’s performance reviews.  Ensure vehicles hired by projects have agreements and payment made as agreed and on time.  Allocate vehicles by ensuring they are assigned as per program needs and that the vehicles are fuelled on specified days and fuel liters recorded in the logbook.  Ensure vehicle insurances and road licenses are renewed when they fall due and copies of the same are properly filed.  Prepare and follow up arrangements for land/air transport of goods and material from HQ to FOs, in direct relationship with the program manager and the head of supply chain.  Prepare fleet monthly reports.  (Following) any documents related SCI vehicles (ownership, disposal and loan).  Prepare Country Fleet Road Safey. Warehousing Management  Stores Management: Responsible of Stores/warehouses management (all stores in Red Sea), including maintaining proper store records, proper stacking, proper ventilation, proper safety and security measures, etc.  Good Receipt Note (GRN): Responsible of the process of Good & supplies receipts and issuance of GRN.  Reporting: responsible for reporting on stock status and consumption tracking of all goods, supplies and items in the entire stores in Red Sea.  Stock replenishment: Initiate, follow up and process replenishment of stocks of all items in the store and maintain the desired minimum & maximum level as per Agency standards.  Consignee: serve as consignee for receipt of all equipment , sent to Red Sea from Khartoum or other SCI offices and responsible to dispatch them afterwards to designated destinations

Transportation of goods & supplies: Responsible of purchased/acquired Goods & supplies transportation from Port Sudan, issuance of waybills, and follow up till point of delivery, receipt of GRN and/or authenticated waybill(s).  Gate Pass: responsible to issue gate pass for all items leaving the Office premise, and ensure adherence by all.  Assist for preparation of Monthly Supply Chain & KPIs Reports for Sudan.  Prepare TIM warehouse Report. Asset Management  Perform and supervise the Periodical Physical Asset inventory and,  Maintain and update inventory assets register (including tagging and receiving assets disposal forms).  Perform the HAC annual and bi-annual reports for assets, and contribute to donor report on asset section when required.  Prepare donors report of the assets.  Ensure all SCI Assets are updated on a monthly basis. Administration  Services Contract Management: manage contracted services, leases and rentals. Do the necessary services procurement’s for all Save the children services contracts in the area.  Security and safety Matters: responsible to coordinate with Safety and Security Advisor on security and safety measure to the premises, storages and vehicles fleet and associated with the road travel  Lead and manage the drivers, guards, cook & cleaners encouraging effective team work and providing supervision, guidance and monitoring, setting objectives on a daily, weekly, monthly or periodically basis as required.  Ensure that drivers understand their individual and collective responsibilities for security, safety and wellbeing, monitor and encourage good health and safety work practice within the team. Staff, Performance Management & Capacity Building  Lead, manage and motivate direct reports, ensure they have clear objectives and receive meaningful feedback on their performance regularly (in line with Save the Children performance management procedures).  Create and maintain a cooperative, collaborative and positive working environment where staff have clear roles and responsibilities, participate in decision making and are supported in progressing towards their objectives.  Lead on capacity building of direct line reports through coaching, mentoring and training. Child Safeguarding  Act as an ambassador for child safeguarding in both professional and personal life. Never abuse position of trust and authority.  Keeping children we work with safe from deliberate harm/risk or inadvertent harm/risk. This is a top organizational and personal commitment, and the standards of behaviour towards children expected by the organization should reflect both in your personal and professional life.  Behave towards children in a way, which reflects the Code of Conduct, CSG Code of Conduct and Child Safeguarding Policy.  Report any CSG issues or concerns in a timely way according to the Country reporting system and procedures. (At least two reports per year). Ask if unclear on anything to do with child safeguarding, such as which concerns should be reported, how to report concerns and how to respond to them


 
 Minimum Qualification, Skills and Experience Required:

Bachelor Degree in Social/Administrative or relative Sciences. An MBA is desirable.

EXPERIENCE AND SKILLS  Minimum 3 years, proven experience in administrating Supply Chain functions:- Fleet, Warehousing, Procurement and Asset Management,  Good command in and ability to understand Logistics issus.
