 Background:

Job creation and vocational qualifications are key in Germany’s development cooperation with Sudan. In 2020, Germany’s Federal Ministry of Economic Cooperation and Development (BMZ) commissioned Deutsche Gesellschaft für internationale Zusammenarbeit (GIZ) to implement the “Employment Initiative Khartoum: Perspectives for the Future for Refugees and Host Communities”. The initiative works to enable the private sector, vocational training institutions and entrepreneurs to create a better future for refugees and local communities in Khartoum. The objective is to help improve employment conditions for these target groups in the state. The programme therefore runs various measures for vocational qualification and employment promotion.



 
 Duties and responsibilities:

A.    Responsibilities

  • Under the direct supervision of the Head of Finance and Administration, the Project Assistantis responsible for:
  • Performing secretarial and administrative services towards the team and especially towards the Project Manager

 

The Project Assistant performs the following tasks:

 

B.    Tasks

Administration

 

  • Performs secretariat related functions (writing letter, convening of meetings, meeting minutes taking) related to office management and for the Project Manager
  • Maintains a customer relationship management logbook (CRM)
  • Assists in printing and filing for the Project Manager
  • Registers leave, sick and other absences of project staff
  • Substitutes the logistic professional during absences
  • Supports with duty travel settlements, hotel bookings, flight bookings
  • Organizes visits of delegations and visits to partners, including preparation of related documents
  • Is responsible to delegate and organize the maintenance of technical equipment, such as mobile phones, internet, laptops printers
  • Takes over human resource related tasks
  • Performs translation services
  • Performs other duties and tasks at the request of project management


 
 Minimum Qualification, Skills and Experience Required:

  • at least 5 years’ professional experience in a comparable position

  • University degree in relevant specialization and qualification in business administration desirable (equivalent of BA)
  • Excellent communication and organizational skills
  • Efficiency and accurancy
  • Discretion and integrity
  • Punctuality and diligence
  • Teamworker
  • Excellent working knowledge and affinity towards ITC technologies and computer applications (e.g. MS Office, specifically Access and Outlook)
  • Excellent written and oral knowledge of English and Arabic, ideally basic knowledge of German
  • Politeness and helpfulness in dealing with visitors
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
