Business Development Executive and Administrative Manager

 Background:

The company is a leading supplier and service provider, offering a range of products and support services for clients of all types. The company operates in Sudan, United Arab Emirates, Lebanon, South Sudan, Uganda, Mali and United Kingdom and holds several contracts with NGO’s and United Nations in different countries for the supply of general goods and for the provision of catering, cleaning and transport services.

 

Job Purpose

  • Provide general administrative support to the company in addition to procurement, stock management and HR related activities.
  • Conduct business development activities


 
 Duties and responsibilities:

Responsibilities – Administrative Manager

  • Serve the office as a focal point to all matters related to administrative contact between the companyand external institutions or agencies
  • Prepare correspondences for matters related to internal administrative or client issues
  • Organize and manage paperwork and documents. Maintain efficient documentation and filing system
  • Organize and facilitate meetings, conferences and other company events
  • Take accurate minutes of meeting
  • Coordinate the day-to-day management of supplies, equipment and facilities for the office
  • Supervise the cleanliness and tidiness of the office
  • Maintain driver schedule
  • Handle personnel and HR related tasks including maintaining and updating employees files, preparing payroll, and coordinating with the NOSI representative
  • Responsible for the procurement and stock management activities
  • Coordinate company’s marketing activities, including recruitment ads, stationery, car advertisements, social media, etc
  • Ensure the implementation of the company’s quality management system and provide feedback and support for regular improvement
  • Other duties as assigned GM

 

Responsibilities – Business Development

  • Monitor tender opportunities and present it to General Manager
  • Prepare summary of tender opportunities accepted by General Manager
  • Contact suppliers as directed by General manager to collect quotations
  • Compare prices and technical specifications
  • Prepare and submit tenders before the closing time
  • Submit summary of quotations to General Manager for final approval
  • Coordinate with procurement department for purchases and deliveries related to Trading
  • Coordinate with suppliers for deliveries
  • Maintain communication with Trading clients for updates of workflow and deliveries

 


 
 Minimum Qualification, Skills and Experience Required:

  • University Degree in Business Administration or similar field
  • 3 to 5 years of experience in similar position
  • Excellent Computer, MS Office skills
  • Fluent in Arabic and English, written and spoken.
  • Strong communication skills
  • Exemplary planning and time management skills
  • Ability to multitask and prioritize daily workload
  • Discretion and confidentiality
