UPO Background:
UPO is Sudanese national organization that has been established in 2009 and working since 2010. UPO seeks to build peace in Sudan through conflict mitigation and reconciliation, inspiring and furnishing the local communities with sufficient and life changing skills to capacitate and empower their living. We see a more peaceful and socio-economically and politically advanced Sudan.
UPO Darfur program started in 2010 in response to the emergency needs of some 950,000 war-affected communities and host populations in most of the localities in North, South, East and Central Darfur States. In response to the humanitarian needs, The Organization has received more than $US 12.5 million in the last five years and implemented over 120 projects across Darfur region, Gadaref and Khartoum states, UPO's assistance reached more than 950,000 vulnerable war affect persons in over 89 rural communities and IDPs camps in Darfur states and eastern Sudan.

Job Purpose:
Under the supervision of Operation Manager and in close cooperation with staff members in Port Sudan this position will contribute to procurement, maintenance functions, and logistic services needed by the organization.

Duties and Responsibilities:

  1. Responsible for vehicle management.
  2. Ensure that all vehicles are equipped with tool kit, logbook, first aid kit and a communication device.
  3. Supervise, coach and train drivers and guards.
  4. Conduct performance appraisal for drivers and guards.
  5. Supply fuel for vehicles, generators and follow up the fuel tracking system.
  6. Submit monthly, quarterly, bi-annual and annual Logistics reports.
  7. Responsible for the timely sourcing and procurement of high quality supplies following UPO procurement policies and procedures.
  8. To maintain a list of standard recommended specifications.
  9. To maintain a list of vendors/suppliers.
  10. To ensure that a list of imported items is prepared and submitted to authorities.
  11. Ensure that all items procured, received as per the required specifications and dispatched are properly documented and accounted for.
  12. Stock management. Maintain minimum stock levels for all items (to be agreed) in close collaboration with the Storekeeper.
  13. Ensure that the UPO stores are well organised with a tracking system in place (GRN, Bin Cards, Waybills,etc) to monitor and account for assets.
  14. Receive/ dispatch and forward all UPO goods/material via road or road transport and ensure that procured goods/services items directed to destination and delivered in good condition and feedback is received from destination. distribution are properly documented, authorised, packed and dispatched punctually.
  15. Responsible for the management and record keeping of the fuel store and ensure that vehicles and generators are provided with fuel as per agreed schedules and quantities.
  16. Ensure that vehicles and generators are maintained and serviced according to agreed schedules and ensure that repairs are carried out promptly as required.
  17. Arrange the necessary transport for staff movement and distribution of supplies.
  18. Maintain up to date inventories of all UPO materials and assets.
  19. Ensure that communications equipment’s are maintained and that staff are trained in their use.
  20. Maintain and follow up communication equipment usage and movement.
  21. To undertake any other duties, as and when necessary, requested by the line manager to fulfill the objectives of UPO, Sudan Programme.

 

Person Specification:
Essential Criteria:
Education:

  • University degree in Economics, Business Administration, Public
  • Administration or any other relevant discipline.

Experience:

  • At least three years’ experience in logistics (procurement, vehicles and fuel management, communications and stores) with an international and national organization.

Knowledge/Skills:

  • Proven organizational and record keeping skills.
  • Good communication skills.
  • Appropriate technical knowledge of vehicles, generators, communication equipment.
  • Excellent computer skills (Excel, Word, Internet).
  • Excellent spoken and written English and Arabic.
