THE PURPOSE

 

Administrative Assistant provides secretarial and/or administrative support.

 

REPORTS TO (ROLE)

 

Finance & Administration Site Manager



 
 Duties and responsibilities:

  • Understands the roles of the components of the International Red Cross and Red Crescent Movement
  • Develops and maintains a pleasant and conducive working environment with colleagues and line managers
  • May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary
  • Drafts and finalizes correspondence, bordereaux, internal presentations, meeting minutes and other documents and shares information among users. 
  • Applies information-management instructions and ensures compliance with procedures. 
  • Plays the role of cashier in Obied office, works with petty cash in his safe, ensures that all relevant documents are complete before payment and does the daily cash control together with the Field Team Leader in charge of the office
  • Supervises and maintains up to standards all premises, ensuring maintenance is done in a timely manner.
  • Watches for deadlines on the payments of the leases and updates the Premises List accordingly, in close collaboration with the FAD Damazine team
  • Seeks solution to over consumption of water, electricity, gas, cleaning products and coffee break in the ICRC premises 
  • Maintains good files and updates information related to premises inventories. 
  • Understands and supervises the Performance Management & Development (PMD) activities for employees under their supervision
  • Instructs and supports the team during the performance management exercise, also keeping a good watch in the timeline of finalizing this task overall
  • Organizes regular meetings within their team to ensure optimal coordination of the work and proper flow of information
  • Plans and coordinates the annual leave of the employees under their supervision ensuring continuity of the operations throughout the year and making sure that there are no outstanding holiday balances at the end of the year
  • Coordinates and supports the employees under their supervision in their personal development by coaching and advising them on internal and external training and development possibilities

 
 Minimum Qualification, Skills and Experience Required:

DESIRED PROFILE AND SKILLS

 

  • Strongly motivated by humanitarian work
  • Able to work under pressure in a potentially dangerous environment

 

 

CERTIFICATIONS / EDUCATION REQUIRED

 

  • High school diploma or equivalent training.
  • Excellent command of English. 
  • Computer skills, including Microsoft Office suite, SharePoint and IBM Lotus Notes.

 

PROFESSIONAL EXPERIENCE REQUIRED

 

  • Two years' experience in an administration position.
