Duties and responsibilities:
Main Duties and Responsibilities:
Assist in monitoring and maintaining inventory levels, ensuring accurate stock counts and timely reordering.
Fully manage and perform data entry for all procurement and warehouse operations within the designated system, ensuring accuracy and completeness of records.
Process, track, and follow up on all procurement and warehouse activities from initiation through completion.
Coordinate transportation and logistics with carriers and suppliers, track shipments, and resolve any issues that may arise.
Maintain accurate and well-organized records of shipments, receipts, inventory, and procurement documentation using relevant software systems. Follow up on all goods receipts and warehouse issue/dispatch orders, ensuring that all related documents are complete, properly authorized, and systematically archived.
Regularly monitor warehouse stock balances, receipts, and supplies, and continuously reconcile physical inventory records with the system to ensure accuracy and identify any discrepancies.
Accurately enter and update all warehouse issue orders, goods receipts, procurement transactions, and other procurement and warehouse operations in the designated system in a timely manner.
Maintain a complete and well-organized filing and archiving system for all Logistics Department documentation, both in hard copy and electronic format, ensuring easy retrieval, proper classification, and completeness of records.
Coordinate closely with the supervisor, providing regular updates and submitting periodic work and performance reports.
Support the logistics team in analyzing supply chain and warehouse processes, identifying opportunities for improvement and increased efficiency.
Communicate effectively with internal departments, suppliers, and beneficiaries to provide updates and respond to inquiries related to logistics, procurement, and inventory.
Assist in preparing periodic reports on logistics and procurement performance, including delivery timelines, costs, and inventory status.
Participate in inventory audits and support compliance with safety, quality, and applicable regulatory standards.
Perform any other duties as assigned by management.
Minimum Qualification, Skills and Experience Required:
Bachelor’s degree,or equivalent; associate degree in logistics, supply chain management, or a related field preferred.
High diploma in English from a well-knowing institution/university.
Minimum of 2 years of progressively responsible experience in logistics, supply chain, or administrative roles, especially within humanitarian or development contexts, is an advantage.
Language: Fluency in English.
Strong communication and facilitation skills and ability to establish good working relationships with colleagues and stakeholders in a sensitive environment. S/he must be able to respond quickly to requests for information.
Strong organizational and multitasking skills with great attention to detail, capable of managing various logistical tasks effectively.
Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with logistics management software or ERP systems.
Excellent communication and interpersonal skills, with the ability to work collaboratively with diverse teams, stakeholders, and communities.
Problem-solving attitude and the ability to adapt to changing circumstances with minimal supervision.
Ability to travel independently, including to rural communities and work long hours.
Ability to quickly learn new systems, processes, and procedures and adapt local practices to global standards.
Demonstrated attention to activity tracking detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members is required.
Talent for organizing and cataloging information is essential.
Fluent in English and Arabic, both spoken and written.
Ability and willingness to work under pressure and handle multiple tasks.
