In 2014, Alight expanded services its reach to include East Darfur. Today, Alight serves displaced populations and host communities in Kassala, Gedaref, West Kordofan, and East and South Darfur states. Alight provides lifesaving humanitarian action, recovery, and development services in these five states, with a country office based in Khartoum.

Field offices in Kassala, Gedaref, Nyala, El Daein,serve as the key state hubs for program delivery. Alight’s staff is more than 99 percent Sudanese, with nearly 800 full-time staff joined by over 400 incentive and community health and protection workers in delivering lifesaving programs and durable solutions in Sudan.

Alight is registered in Sudan and works closely with Federal and State Line Ministries to carry out its humanitarian and development mandates.

 Background:

The Medical Warehouse Assistant, under the supervision of the ICT and Logistics Manager and in coordination with the Health & Nutrition (H&N) unit, is responsible for receiving, storing, managing and supplying drugs, medical materials and related supplies from the Khartoum central warehouse to field offices and health facilities.



 
 Duties and responsibilities:

Storage:

  • Ensure proper storage, classification and organization of general warehouse items, including (non-medical items, drugs, medical and laboratory supplies, therapeutic food items), according to ALIGHT protocols and standard warehouse storage regulations.
  • Ensure, in cooperation with logistics, good storage conditions in the warehouse (temperatures, humidity & light exposure) using standard tools like daily temperature control.
  • Ensure, in cooperation with the logistics department, that the cold chain is functioning properly.
  • Ensure that there is enough space available for receiving and checking orders.

Stock Management:

  • Keep records in files about all Warehouse items, including medical and non-medical materials, according to ALIGHT protocols, both on paper-based and computer-based tools.
  •  Update stock files upon arrival of new orders or when preparing a supply to send.
  •  Inventory management and storekeeping, preparing warehouse reports on a monthly basis 
  • Correctly manage and account for all incoming and outgoing stock by using well-maintained and detailed documentation, goods received note, store release, waybills, stock /bin card, etc. 
  • Ensure proper Transportation of supplies with logistics.
  • Continuously inform the program staff of the stock levels in the warehouse and offer advice on the utilization of the stock, looking at the different grants. 
  • Manage Medical and Non-medical stock as per ALIGHT protocol by doing proper follow-up of expiry dates and physical inventory.

Supply:

  • Supply drugs, medical materials, therapeutic and non-therapeutic food to field offices, health and nutrition projects according to orders validated by the pharmacist.
  • Prepare all supplies requested from different Program departments.
  • Coordinate with (SMOH nutrition, EPI, WHO) regarding supplies to ensure efficient receipt, storage & unloading of non-medical, medical – paramedical supplies/equipment for humanitarian assistance.
  • Take ultimate responsibility and accountability for the management of the Khartoum central medical warehouse, in consultation with Logistics, Health and Nutrition, Supply Chain Coordinator and the Program Manager.

Reception of Orders:

  • Reception of ALIGHT orders and incoming consignments at the Khartoum central warehouse from suppliers and freight forwarders.
  • Check quality and state of orders received, checking package status, packing lists, expiry dates, and batch numbers.
  • Ensure proper disposal of expired items according to ALIGHT safety standards and waste management protocols in collaboration with the logistics department and the pharmacist.
  • Always keep all areas of warehouses and storerooms closed and locked when not in use.
  • Ensure cleanliness and tidiness of the warehouse area.

Equipment:

  • Look after all equipment provided.

 
 Minimum Qualification, Skills and Experience Required:

  • Minimum of 1 year of experience in warehouse management with NGO experience 
  • bachelor's / Diploma in Pharmacy
  • Fluent Arabic and English
  • Very good with Excel
  • Very good reporting skills
  • Flexible with time
  • Works under pressure
