 Background:

 The Institutional Funding Officer is responsible for identifying, securing, managing, and reporting on institutional grants from UN agencies, government donors, INGOs, and foundations. The role leads proposal development, donor engagement, grant management, project follow-up, and donor reporting to ensure compliance and effective project delivery.

Working closely with Programme, MEAL, Finance, and Operations teams, the post-holder monitors project progress against workplans, budgets, and donor requirements, supports timely narrative and financial reporting, and maintains strong donor relationships. The Officer also tracks funding opportunities, coordinates grant implementation, and ensures donor funds are utilized efficiently to achieve quality outcomes and organizational growth.                                                                                                                 



 
 Duties and responsibilities:

  1. Institutional Fundraising and Donor Engagement

  • Identify and track funding opportunities from institutional donors.
  • Maintain an up-to-date donor mapping and funding pipeline.
  • Build and strengthen relationships with donors, partners, and relevant stakeholders.
  • Monitor donor priorities, funding trends, and strategic interests.
  • Represent the organization in relevant coordination meetings and donor forums.

2. Proposal Development

  • Coordinate the development and submission of high-quality concept notes, grant proposals, and expressions of interest.
  • Work closely with program, MEAL, finance, and operations teams to develop competitive proposals.
  • Ensure proposals are compliant with donor requirements, guidelines, and deadlines.
  • Develop logical frameworks, work plans, budgets, and supporting documentation.

3. Grant Management and Donor Compliance

  • Support the management of awarded grants throughout the project cycle.
  • Ensure compliance with donor regulations, contractual obligations, and reporting requirements.
  • Maintain accurate grant files and donor records.
  • Track grant deliverables, milestones, and reporting schedules.

4. Donor Reporting

  • Coordinate the preparation and submission of high-quality narrative reports.
  • Review reports to ensure consistency between programmatic achievements and financial expenditure.
  • Compile project results, case studies, lessons learned, and success stories.
  • Ensure timely submission of donor reports.

5. Coordination and Information Management

  • Collaborate with technical teams to gather program data and project updates.
  • Develop and maintain a funding tracker and donor database.
  • Support partnership development and consortium opportunities.
  • Contribute to organizational fundraising strategies and resource mobilization plans.

6. Capacity Building

  • Support staff in understanding donor requirements and compliance standards.
  • Contribute to institutional learning on proposal writing and donor engagement.
  • Share information on emerging funding opportunities with relevant teams.                                                                                                                                                                                                                                                                                                                              

 
 Minimum Qualification, Skills and Experience Required:

                                                                                                                                                                                                                                                                            Bachelor's degree in International Development, Business Administration, Social Sciences, Public Administration, Economics, or a related field.

  • Minimum 3–5 years of experience in institutional fundraising, grant management, business development, or donor relations within the humanitarian or development sector.
  • Proven experience developing successful proposals for institutional donors.
  • Experience managing donor reporting processes and grant compliance requirements.

Desirable

  • Master's degree in a relevant field.
  • Experience with UN agencies, ECHO, FCDO, USAID, GAC, BMZ, SDC, Sida, or major foundations.
  • Experience working in humanitarian and emergency response contexts.

Skills and Competencies

  • Excellent proposal and report writing skills.
  • Strong understanding of institutional donor regulations and compliance requirements.
  • Project cycle management knowledge.
  • Budget development and financial literacy.
  • Strong analytical and research skills.
  • Excellent communication and stakeholder engagement skills.
  • Ability to manage multiple deadlines and work under pressure.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint.
