 Background:

  1. Main Purpose
Performing autonomously, complex / advanced servicing, maintenance and repair of MSF vehicles and other engines according to MSF standards and procedures, in order to ensure vehicles are in perfect running conditions.


 
 Duties and responsibilities:

  1. Accountabilities
  • Performing autonomously and ensuring, all necessary complex / advanced maintenance and repair of MSF vehicles and mechanical equipment to ensure they are in perfect condition for their use. This includes the following tasks :   
    • Performing maintenance according to the instructions in the logbook, ensuring all type of services to all vehicles are done on time (i.e. mini A, medium B and full C, and special services referred in logbook when possible). 
    • Testing all vehicles after each service is concluded and before it is handed back to its driver
    • Keeping record of vehicle’s driver remarks, and carrying out repairs if needed (vehicles and other mechanical equipment) and filling in service, repair or vehicle log book. Reporting to the line manager any problem related to MSF vehicles
    • In the case of a breakdown, making a diagnosis, informing the line manager and after approval carrying out any complex / advanced repairs needed. 
    • Following up the validity of all documents (annual inspections, insurance or any other required documents)
    • Assisting in the briefing or training of drivers regarding vehicle services and maintenance
  • Managing the stock of consumable items, filling in the stock cards, carrying out physical stock inventories, executing orders necessary for renewing stock, avoiding any shortage 
  • Responsible for the equipment and tools, including extinguishers, checking they are correctly and safely used, maintaining and renewing them when necessary and keeping the inventory updated. 
  • Keeping working area clean and tidy.
  1. Ensuring that all record sheets and books related to maintenance are always completed and preparing needed reports before and after any repair or required maintenance.
     

 

  1. MSF Section/Context Specific Accountabilities
  • Ensure high availability and reliability of fleet supporting emergency medical and logistics operations in Copordination (Port Sudan/Khartoum) and other MSF Location Projects when needed, minimizing downtime in a constrained supply environment.
  • Conduct preventive and corrective maintenance under limited spare parts availability, including adaptive repair techniques (fabrication, part substitution, cannibalization when approved) to maintain operational continuity.
  • Support inspection, reception, and commissioning of newly imported vehicles and equipment arriving through Coordination, ensuring compliance with MSF standards before deployment to field locations.
  • Manage fleet readiness for long-distance intercity movements (Port Sudan–Khartoum - GED corridor), including pre-departure checks, fuel planning, and breakdown risk mitigation.
  • Adapt maintenance strategies to extreme environmental conditions, including:
  • High temperature and dust exposure (engine cooling systems, air filtration)
  • Coastal corrosion risks in Port Sudan (rust prevention, electrical systems protection)
  • Ensure rapid breakdown response capacity in urban Khartoum, where operational delays directly impact medical activities, including establishing contingency repair workflows and mobile repair capability.
  • Monitor and control fuel quality and consumption, particularly in contexts with variable fuel standards, to prevent engine damage and ensure efficiency.
  • Strengthen driver technical capacity through on-the-job training focused on:
  • Early fault detection
  • Defensive driving in high-risk urban environments
  • Basic preventive maintenance practices
  • Maintain strict documentation and traceability of all maintenance activities despite high operational tempo, ensuring audit compliance and data reliability for fleet management decisions.
  • Coordinate closely with logistics and supply teams to forecast spare parts consumption and mitigate supply chain disruptions, especially for critical components with long lead times.
  • Ensure all vehicles meet minimum safety standards for operation in insecure or congested environments, including brakes, tires, lighting, and communication equipment.
  • Support implementation of fuel and fleet efficiency optimization measures, including vehicle allocation planning and reduction of unnecessary movements.
  • Enforce workshop safety protocols and tool accountability in both fixed (Port Sudan & Khartoum) and potentially constrained/mobile workshop setups.
  • Contribute to contingency planning for emergency scale-up, ensuring additional vehicles can be rapidly prepared and deployed during sudden humanitarian needs.
