The Supply Chain & Logistics Coordinator will lead the development and management of the organization's supply chain systems across procurement, logistics, warehouse management, fleet, asset management, inventory control, and contract management.
 



 
 Duties and responsibilities:

Purpose of the Position

The Supply Chain & Logistics Coordinator is responsible for planning, coordinating, and overseeing all supply chain and logistics activities across the National Office and field operations. The position ensures timely, cost-effective, transparent, and compliant procurement and logistics services that support programme implementation while adhering to SOS policies, donor regulations, and international best practices.

Key Responsibilities

1. Supply Chain Leadership

  • Lead and coordinate the overall Supply Chain function across the National Office and field operations.
  • Develop annual supply chain plans aligned with programme implementation.
  • Strengthen supply chain systems, policies, procedures, and internal controls.
  • Promote continuous improvement and innovation within supply chain operations.
  • Provide technical guidance and mentoring to supply chain staff.

2. Procurement Management

  • Lead strategic procurement planning and implementation.
  • Ensure all procurement processes comply with SOS procurement policies and donor regulations.
  • Oversee tendering, bid evaluation, supplier selection, and contract award processes.
  • Ensure transparency, fairness, and value for money throughout procurement activities.
  • Review procurement documentation before approval.

3. Logistics Management

  • Coordinate transportation and distribution of programme supplies.
  • Ensure timely delivery of goods and services to all programme locations.
  • Develop efficient logistics plans for emergency and development programmes.
  • Monitor logistics performance and identify areas for improvement.

4. Warehouse & Inventory Management

  • Ensure proper warehouse management systems are implemented.
  • Monitor stock levels and inventory accuracy.
  • Conduct regular inventory verification and stock reconciliation.
  • Ensure safe storage and proper handling of supplies.

5. Fleet Management

  • Oversee fleet planning, utilization, maintenance, and replacement.
  • Monitor fuel consumption and vehicle performance.
  • Ensure compliance with vehicle safety standards.
  • Improve fleet efficiency and cost-effectiveness.

6. Asset Management

  • Ensure accurate asset registration and tracking.
  • Coordinate periodic physical verification of organizational assets.
  • Manage asset disposal in accordance with organizational procedures.
  • Strengthen asset accountability systems.

7. Vendor & Contract Management

  • Establish and maintain a reliable supplier database.
  • Conduct supplier performance evaluations.
  • Negotiate contracts and framework agreements.
  • Monitor supplier compliance with contractual obligations.

8. Emergency Supply Chain Support

  • Ensure emergency procurement and logistics preparedness.
  • Develop contingency supply chain plans.
  • Support rapid humanitarian response during emergencies.
  • Coordinate emergency procurement and distribution activities.

9. Compliance & Risk Management

  • Ensure compliance with SOS policies, donor regulations, and national laws.
  • Identify and mitigate supply chain risks.
  • Support internal and external audits.
  • Implement audit recommendations promptly.

10. Reporting & Information Management

  • Prepare regular supply chain performance reports.
  • Develop and monitor key supply chain KPIs.
  • Maintain accurate procurement and logistics records.
  • Support management decision-making through timely reporting.

11. Team Leadership

  • Supervise Supply Chain staff.
  • Build staff capacity through coaching and mentoring.
  • Conduct performance reviews.
  • Foster teamwork and accountability.

 
 Minimum Qualification, Skills and Experience Required:

Qualifications

  • Bachelor's degree in Supply Chain Management, Logistics, Procurement, Business Administration, Engineering, or a related field.
  • Professional certification such as CIPS, CSCP, CPSM, or equivalent is highly desirable.
  • Master's degree is an added advantage.

Experience

  • Minimum of 7 years of progressively responsible experience in supply chain and logistics management.
  • At least 3 years in a managerial or coordination role.
  • Experience in humanitarian and development programmes.
  • Proven experience managing donor-funded projects (e.g., UN agencies, ECHO, SHF, DRA, USAID, EU, GIZ, BMZ, FCDO).
  • Experience working in insecure or emergency contexts is desirable.
