 Duties and responsibilities:

Position Summary:

 

The Grants & Reporting Coordinator (GRC) plays a central role in ensuring high-quality program development and reporting across Relief International’s Sudan’s response. Reporting to the Grants and Reporting Manager, the GRC co-leads the development of donor proposals, concept notes, and reports, ensuring compliance with donor and organizational standards. The role coordinates closely with technical specialists, program and support function focal points in the Sudan country office and hubs, as well as global Program Development and Reporting teams. The GRC ensures that RI’s programs in Sudan are well-designed, accountable, and effectively communicated to donors.

 

Accountability and Complexity

  • Support the Grants and Reporting Manager in tracking and coordinating all pipeline opportunities, ensuring compliance with donor and internal RI requirements.
  • Maintain an updated PD Tracker, reporting calendar, and documentation system for proposals, modifications, and reports.
  • Assist in coordinating project modifications, no-cost extensions, and budget realignments, ensuring timely and accurate submissions.
  • Liaise with program and support teams to gather and verify information for donor reports and internal reviews.

Donor Reporting and Compliance

  • Coordinate the consolidation of inputs for donor reports, ensuring accuracy, consistency, and timely submission.
  • Format, proofread, and review narrative reports for quality, coherence, and compliance with donor templates and guidelines.
  • Ensure all final reports, donor correspondence, and supporting documents are properly archived according to RI’s file naming and documentation system.
  • Support the Grants and Reporting Manager in updating internal trackers, donor systems, and reporting schedules.

Proposal Development Support

  • Assist in the development of concept notes and proposals, coordinating inputs from technical, programmatic, and operational teams.
  • Support in preparing annexes, such as logframes, risk matrices, or procurement plans, as required.
  • Ensure all proposal components are complete, coherent, and in compliance with donor and RI formats before submission.

Coordination and Capacity Building 

  • Serve as a focal point for coordination between the grants team, program units, finance, MEAL, and operations during reporting and proposal processes.
  • Support the Grants and Reporting Manager in delivering trainings or mentoring sessions to staff and partners on reporting, compliance, and documentation standards.
  • Participate in grants-related meetings, taking minutes and following up on assigned action points.
  • Build the capacity of field-level program and support staff to contribute effectively to grants management and reporting processes.
  • Provide ongoing coaching and feedback to strengthen institutional knowledge on donor compliance and program development.

Management and Leadership

  • Support communication with donors and HQ desks under the direction of the Grants and Reporting Manager.
  • Contribute to success stories, project briefs, and visibility materials, in coordination with the Communications team.

  • Be a model for ethical conduct standards for other team members.
  • Ensure own actions and the actions of the teams members they manage do not impact the safety of the RI team and the vulnerable communities we serve.
  • Ensure external stakeholders are aware of RI conduct and reporting mechanisms.
  • Report any concerns.

 
 Minimum Qualification, Skills and Experience Required:

Qualifications & Requirements:

  • Bachelor’s degree in Business Administration, political sciences, international relations, English major, psychology, and other related field (not a specialized position) 
  • Minimum of 3 years grant or reporting experience
  • Prior experience with INGOs or multi-stakeholder environments preferred
  • Strong working knowledge of donor regulations
  • Fluency in English and Arabic (written and verbal)
  • Experience with OCHA’s OneGMS grants management systems is a plus
