The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and at the same time promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

THE PURPOSE

 

The Welcome Assistant helps ensure that Welcome activities are organized smoothly, including coordination of pick-up/drop-off of ICRC staff and guests, travel arrangements, visas, permits, official registration and accommodation.

 Duties and responsibilities:

  • Coordinates hotel bookings, updates, and confirmations for all staff and visitors.
  • Arranges airport pick-up and drop-off services in collaboration with the transport focal point.
  • Provides travelers with clear, essential pre-arrival information regarding their logistics and accommodation.
  • Maintains a mandatory physical presence at the Immigration Department and MFA to handle official submissions and follow-ups.
  • Manages applications for visas, residencies, and work permits with relevant government authorities and embassies.
  • Maintains organized personal files and monitoring tools to track the validity of staff visas, passports, and residencies.
  • Ensures all Welcome and transportation databases are accurately updated with movement, arrival, and contact information.
  • Prepares briefing packs for new arrivals and provides logistical support for meetings and seminars.
  • Facilitates travel planning by providing fare quotations and managing UNHAS/Red flight bookings.
  • Manages the distribution of pool phones and works on a rotation basis to cover weekend duties or staff absences.

 
 Minimum Qualification, Skills and Experience Required:

DESIRED PROFILE AND SKILLS

 

  • Strongly motivated by humanitarian work
  • Able to work under pressure in a potentially dangerous environment

 

 

CERTIFICATIONS / EDUCATION REQUIRED

 

  • High school or professional school.
  • Very good command of written and spoken English.
  • Computer proficiency, Microsoft Office suite
  • Attentive to details with high sense of confidentiality and integrity.
  • High degree of flexibility and responsiveness.
  • Driving License; Succeeded in ICRC Driving test.

 

PROFESSIONAL EXPERIENCE REQUIRED

 

  • Minimum 2 years’ experience in a similar position.
  • Previous working experience with International Organizations (preferred).
  • Previous working experience in protocol/liaison and governmental relations.
