 Background:

The Sudanese Red Crescent Society (SRCS) and the Spanish Red Cross (SpRC), have been working together since 2023 in White Nile and they are about to start a new intervention at Sennar State. The partners ran an assessment in the latter half of 2024 in White Nile and Sennar States to identify the priority needs and options for intervention. From this assessment, the Comprehensive Humanitarian Response to the Food Crisis in Sudan project was jointly developed by the partners, to be implemented in 3 targeted localities (White Nile: Ad Diwaim and Sennar: Sennar and East Sennar) and aiming to: improve access to and urgent production of food, as well as the nutritional health of the most vulnerable population.

 

The purpose of the Project Coordinator is to oversee and coordinate the planning, implementation and monitoring of SRCS/SpRC project activities, ensuring timely delivery, effective resource management and alignment with humanitarian standards, development goals and required quality standards. The role contributes to the efficient, effective and sustainable implementation of the project in order to address beneficiary needs, facilitates cross-team collaboration, supports strategic decision-making and promotes inclusive, locally led approaches that strengthen community impact and operational sustainability. In collaboration with the SpRC Delegate, the Project Coordinator will ensure the successful implementation of the project and build the capacities of the project team.



 
 Duties and responsibilities:

  1. Project Management   
  • Ensure completion of SRCS/SpRC project in White Nile and Sennar in line with signed project documents, budget, logframe, and operation plan. 
  • Supervise project activity implementation by project officers. 
  • Ensure that project is implemented in accordance with the SpRC, SRCS and donor policies and guidelines, including monitor adherence to safeguarding, PSEA, gender equity and accountability practices.
  • Undertake regular support and monitoring visits to project sites and participate in project events when required. 
  • Coordinate with SRCS, SpRC and relevant stakeholders to ensure harmonized execution across sectors and sites.
  • Ensure that governance structures, such as project steering committees, are operational and mobilised in line with project documents. 
  • Develop, in collaboration with project team, the annual operation plan. 
  • Lead the project review and propose adjustments to SRCS and SpRC.
  • Conduct punctual project surveys and evaluation in collaboration with the Planning, Monitor, Evaluation and Reporting (PMER)  section.  
  • Ensure best practices and lesson learnt are documented
  • Suggest new ideas for projects and interventions 
  • Participate in field assessments for the development of new projects and actions 
  • Support the production of new project proposals.
  • Ensure all activities comply with SRCS and SpRC policies, humanitarian standards and donor requirements.

 

  1. Team management 
  • Support the recruitment of national project staff in accordance with SRCS and SpRC procedures.
  • Organise introduction and project induction for newly recruited staff.
  • Develop training and capacity building plan for project team including project tools, ethics and operational guidelines.
  • Support team leads and supervisors in resolving operational challenges and adapting plans as needed.
  • Oversee logistics, staffing and resource allocation to optimize field effectiveness.
  • Facilitate weekly team meetings. 
  • Ensure staff appraisals are completed for all project staff in accordance with SRCS procedures.
  • Ensure project staff are adequately equipped in both information and materials to fulfil their tasks.
  • Develop an HR plan, holiday plan and maintain the HR tool (contract dates, annual leave, etc.).

 

  1. Administrative, Financial, Procurement and Logistical Supervision 
  • Monitor project’s financial management in coordination with SpRC delegates, SRCS Finance Director, SRCS-SpRC accountant, and project Finance Officer. 
  • Ensure that project cash and fund requests are submitted within deadlines. 
  • Ensure that qualitative financial reports are submitted within deadlines to SRCS and SpRC.
  • Follow up on issues raised by SRCS-SpRC teams related to project expenditure.
  • Supervise the storage of all project assets, including their input in project inventory, in accordance with procedures and tools.
  • Ensure that procurements comply with financial procedure and policies. 
  • Ensure the completion and archiving of project donation certificates. 

 

  1. Reporting
  • Collect and consolidate activity data for progress reports, donor updates and internal evaluations.
  • Ensure high quality and timely completion of monthly, quarterly and annual progress reports as per prescribed templates and timetable.
  • Provide report translation when required.
  • Ensure the maintenance of an up-to-date library of project documents, lessons learnt, challenges, project case studies, articles and photographs. 
  • Ensure diffusion of progress reports amongst stakeholders in accordance with multiparter agreement.

 

  1. Coordination and representation
  • Act as the Project Manager in close collaboration with SpRC Delegate. 
  • Support the development of the multi-partner project agreement between SRCS-SpRC, Ministy of Agriculture and Irrigation and the Ministry of Health, Water Corporation, White Nile and Sennar local authorities.
  • Coordinate with stakeholders in White Nile and Sennar working in and/or Ad Diwaim, Sennar and East Sennar on FSL, CASH, WASH and community health and nutrition, local authorities and community. 
  • Maintain a strong, collaborative relationship between SRCS and SpRC, ensuring regular coordination. 
  • Participate in coordination forums and represent the project in external meetings and technical working groups.

Ensure inclusion of community voices and feedback in project decision making.


 
 Minimum Qualification, Skills and Experience Required:

Formal Competence
  • Relevant university degree in Agriculture, Livelihoods, Engineering, Health or a related field.

Personal qualifications, skills and knowledge

 

Skills and knowledge
  • Minimum of 5 years work experience in livestock, livelihoods, CVA, WASH and/or health projects. 
  • 4 years’ work experience as Project Coordinator with international/national organizations in humanitarian sector.  
  • Good Computer knowledge of MS, Word, Excel (compulsory). 
  • Solid understanding of project planning, budgeting and reporting methodologies.
  • Capable of producing clear activity reports, progress updates and success stories with supporting data.
  • Knowledge of budget follow up and forecasting is an asset. 
  • Proficient in using M&E tools to track indicators and collect feedback from field activities.
  • Resourceful and practical in resolving field level issues related to logistics, participation, FSL, WASH and Nutrition.
  • Comfortable working across multidisciplinary teams, including technical experts, logisticians and local authorities.
  • Able to manage CVA, input distribution processes and inventory tracking in line with donor and organizational standards. Successful track record of managing international finance and administrative teams, including remote support.
  • Track record of managing humanitarian teams in complex humanitarian setting.
  • Experience in programming within humanitarian sector and work with NGOs, government programmes.
  • Ability to mobilize communities, facilitate inclusive participation and maintain strong beneficiary relationships.
  • Able to work in stressful environment.
  • Willing to regularly overnight in project villages (mandatory). 
  • Fluency in English and Arabic is required.
