 Background:

We are seeking dedicated individual who will coordinate, supervise supply chain activities and operations at Khartoum project level, applying MSF protocols to keep mission operations running efficiently.
As the Supply Chain Officer, you will ensure the effective planning and execution of daily supply chain tasks, from procurement and stock management to documentation and reporting. managing procurement and logistics workflows with a focus on maintaining MSF standards and supporting operational priorities with keen attention to accuracy and operational responsiveness



 
 Duties and responsibilities:

  • Supervising and organizing the daily activities of the Supply Chain team, including Supply Supervisors, and ensuring they perform the tasks linked to their role
  • Being responsible for the order, purchase, stock and freight management in the coordination or in the project level, monitoring and ensuring an efficient implementation of the overall daily supply chain activities
  • Monitoring and ensuring a smooth-running supply administration and the respect of the implemented supply procedures, proposing adjustments where needed.
  • Being responsible for the supply database and the correct filing and archiving of the supply documentation in order to guarantee the availability and the coherence of supply data
  • Communicating with customers, keeping them up to date concerning their orders status (BO confirmation) and prioritizing procurement and transport according to their needs
  • Collecting claims from the field, analyzing causes and making corrective actions.
  • In collaboration with the Supply Supervisor (if any) and in coordination with the HR department, supervising the associated processes (recruitment, training/induction, briefing/debriefing, evaluation, potential detection, development and communication) of the staff under his/her responsibility to ensure both the sizing and the amount of knowledge required
  • Informing the Logistics / Supply Manager in case of any major issue and draws-up all required reporting, to keep updated and reliable information that will help in decision-making
  • Performing any other tasks within the scope of his role, as directed by supervision and according to the needs of the mission.

MSF Section/Context Specific Accountabilities

  • Organize the daily tasks of the Supply team.
  • Ensure efficient execution of order, purchase, stock, and freight management, both at project level and laising with Coordination Supply team.
  • Build and manage a functional local supply chain for Khartoum project needs, adapting to context constraints and gaps.
  • Monitor proper implementation of MSF supply procedures and propose improvements where necessary.
  • Oversee proper use and maintenance of the supply database and ensure correct filing/archiving of supply documents.
  • Keep internal customers (departments/projects) informed about order status (BO confirmation, expected delivery) and help prioritize urgent needs.
  • Gather and analyze claims or delays from the field and ensure corrective action plans are implemented.
  • Coordinate recruitment, induction, and development plans for Supply staff under his/her supervision, together with his/her direct supervisor and in collaboration with HR.
  • Responsible for accurate and on time reports regarding the Supply Activities, Situation Reports and Alerts to management major issues, support needed, bottlenecks. Contribute to regular reporting, continuous improvement of the department and decision-making processes

 
 Minimum Qualification, Skills and Experience Required:

EducationUniversity degree Bachelor, in Commercial Studies, Logistics/Supply Chain or related field. 
Experience

Minimum of 2 years of experience in supply chain management and in organization of supply administration and procedures.

Desirable proven understanding of MSF Field Logistics (general knowledge of MSF equipment and kits).

Experience in similar jobs in the field of humanitarian aid with MSF or other NGO.

Languages                       Work Professional Proficiency in both English and Arabic Languages (spoken and written).
