Duties and responsibilities:
Accountabilities - Performing autonomously and ensuring, all necessary complex / advanced maintenance and repair of MSF vehicles and mechanical equipment to ensure they are in perfect condition for their use. This includes the following tasks :
- Performing maintenance according to the instructions in the logbook, ensuring all type of services to all vehicles are done on time (i.e. mini A, medium B and full C, and special services referred in logbook when possible).
- Testing all vehicles after each service is concluded and before it is handed back to its driver
- Keeping record of vehicle’s driver remarks, and carrying out repairs if needed (vehicles and other mechanical equipment) and filling in service, repair or vehicle log book. Reporting to the line manager any problem related to MSF vehicles
- In the case of a breakdown, making a diagnosis, informing the line manager and after approval carrying out any complex / advanced repairs needed.
- Following up the validity of all documents (annual inspections, insurance or any other required documents)
- Assisting in the briefing or training of drivers regarding vehicle services and maintenance
- Managing the stock of consumable items, filling in the stock cards, carrying out physical stock inventories, executing orders necessary for renewing stock, avoiding any shortage
- Responsible for the equipment and tools, including extinguishers, checking they are correctly and safely used, maintaining and renewing them when necessary and keeping the inventory updated.
- Keeping working area clean and tidy.
- Ensuring that all record sheets and books related to maintenance are always completed and preparing needed reports before and after any repair or required maintenance.
MSF Section/Context Specific Accountabilities - Ensure timely preventive and corrective maintenance of all MSF vehicles, generators, and mechanical equipment across the Sudan mission, in line with logbook schedules and OCB technical standards.
- Travel regularly between project locations to provide on-site mechanical support, diagnose faults, carry out essen-tial repairs and preventative maintenance, ensuring operational continuity of mission fleets and energy systems.
- Conduct post-service testing on all vehicles and generators to verify mechanical integrity, reliability, and safety be-fore returning them to service.
- Diagnose and repair complex mechanical issues affecting vehicles or generators, reporting to the line manager for approval prior to major interventions.
- Maintain accurate, up-to-date maintenance and repair records, including vehicle logbooks, generator service logs, and parts-usage documentation.
- Ensure the validity and availability of all vehicle documentation (insurance, inspection certificates, registration) in coordination with the logistics department.
- Train and coach drivers and logisticians on basic vehicle and generator maintenance, safe operation, and proper use of equipment to promote a culture of preventive care.
- Manage and control stocks of spare parts, consumables, and tools, ensuring accuracy of stock cards, avoiding shortages, and reporting needs proactively to the supply team.
- Ensure safe, clean, and organised workshop environments at all times, promoting adherence to safety procedures and correct use of tools, lifting equipment, and extinguishers.
- Prepare and submit maintenance, repair and service reports before and after each major maintenance or repair, highlighting recommendations for preventive measures or improvements to fleet performance.
- Act as the mission’s technical focal point for mechanical interventions, liaising with coordination, project teams, and external workshops when required, ensuring compliance with MSF standards and value-for-money principles.
- Contribute to evaluating mechanical performance and reliability of vehicles and generators, providing feedback on model suitability and long-term maintenance needs in the Sudan context.
