We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

THE PURPOSE

 

The Administrative Assistant/Receptionist will act as the first person of contact in the delegation with beneficiaries and stakeholders. S/he will play an important role in supporting users in the delegation and advance the implementation of the Information Management (IM) guidelines and procedures.

 Duties and responsibilities:

  • Greets visitors, provides information, and directs them to the correct staff or department.
  • Maintains the visitors' logbook and manages the distribution of visitors' badges.
  • Coordinates with security regarding the arrival of VIP visitors and reports security issues when necessary.
  • Answers, redirects, and takes messages from incoming calls, transmitting them to the concerned departments.
  • Monitors phone lines, coordinating with ICT and the IM team to resolve technical problems.
  • Acts as the first level of IM support for users, providing proximity support and handling requests.
  • Independently updates general information in databases and Team Space (e.g., telephone lists, emergency cards).
  • Conducts basic training and presentations on Information Management tools and themes, monitoring knowledge effectiveness.
  • Applies IM instructions and ensures users comply with established procedures.
  • Keeps knowledge and skills up to date on standard computer technology and informs users about new IM tools.
  • Keeps delegation contact lists current and manages the reception, logging, and filing of all incoming paper mail.
  • Prepares, sends, and receives pouches to/from other sites in collaboration with the IM Team, including seal monitoring and follow-up.
  • Manages business card orders, assists with departmental stationery inventories, and prepares meeting rooms (including conference call setup).
  • Sends travel requests for management and visitors and coordinates the required follow-up.
  • Supports the IM team by addressing user IM-related issues, implementing solutions, providing feedback, and covering for the EAIMO during their absence.

 
 Minimum Qualification, Skills and Experience Required:

  • Able to work under pressure in a potentially dangerous environment

 

 

CERTIFICATIONS / EDUCATION REQUIRED

 

  • High school diploma or equivalent training.
  • Excellent command of English 
  • Computer skills, including Microsoft Office suite, SharePoint and IBM Lotus Notes.

 

PROFESSIONAL EXPERIENCE REQUIRED

 

  • Two years' experience in a secretarial position.
