Background:
Medair is a humanitarian INGO whose mission is to relieve suffering in some of the world’s most remote and devastated places. Currently, Medair is implementing projects in Khartoum and Blue Nile States, in the sectors of health & nutrition, WASH, and NFI.
Responsible for the Logistics functions; provide accurate and timely management on procurement, inventory, importation, transportation and other Logistics matters. Overview of the Logistics processes and supervision of the logistics team in the country.
Duties and responsibilities:
Technical responsibilities
Ensures adherence to Logistics procedures
Management of all logistics processes and procedures at the country level
Review of Log Packs, Stock Management, Equipment Maintenance and Fleet Management
Manages importation (including all permissions) and movement of procured items
Review and approval of competitive bid analysis
Develop and maintain supplier database and standard price lists
Support to field offices and other departments
Review and feedback on supporting documentation
Sudan Logistics staff supervision
Coordinates workload within the team, provides support and feedback
Leads training for logistics and project teams
Assume their task in their absence
Others
Review of project and base budgets
Quality assurance and compliance
Assistance with audit
External representation
Management of liaison activities (visas, travel permissions, etc)
Other tasks as assigned
Assists the Programme Support Manager in all Logistics matters
General responsibilities
Immediate notification of any suspicion of fraudulent activity amongst staff and external links.

Adherence to all ENC Regulations and Security Standard Operating Procedures and maintaining confidentiality at all times.

MAIN ACTIVITIES
Logistics procedures – Supply chain
Ensure proper supply chain management procedures are in place according to Medair standards – to include procurement, warehousing, transportation and management of logistics resources.
Manage the procurement process, in a transparent, efficient and cost-effective manner. Ensure regular and timely transmission of order status, stock levels and shipment status to project and logistics staff.
Manage importation processes, including all permissions and transportation.
Ensure that local market surveys are regularly carried out, to ensure full knowledge of the availability and price of local items. Ensure supplier database is created and maintained reflecting supplier status.
Oversee warehouse operations (with particular emphasis on medical and nutrition supplies).
Maintain accurate filing systems, with documented records of logistics transactions for audit purposes.
Logistics Procedures – Resources, assets and premises
Ensure the management and security of vehicle fleet; ensure maintenance schedules are adhered to.
Coordinate all types of equipment and assets including communication, IT and power ,to ensure that equipment is managed diligently and operated in the most cost-efficient manner.
Support management of existing project bases, establishment of new ones and closing of existing ones as needed. Liaise as necessary with the landlords to ensure proper maintenance and optimum availability of facilities and utilities (e.g. electricity, water, phone-lines, physical security and building repairs).
Always ensure readiness for hibernation or evacuation.
Ensure regular backups are done for all computers.
Country Office Logistics staff supervision
Manage staff with integrity and foresight, and in accordance with HR procedures and policies to ensure that they maintain the highest standards of accountability and professionalism.
Ensure that all logistics and relevant programme staff are adequately trained and create possibilities for capacity building, mentoring and coaching. Lead or coordinate trainings for national staff to increase their responsibilities in order to build capacity and ensure sustainability of programs.
Others
Represent Medair in a positive and professional manner contributing to the continuation of a positive image and overall credibility of the organization.
Proactively engage with suppliers.
Support development of, and validate, the logistics component of all base and project budgets.
Carry out regular inspections to ensure the best use of Medair assets.
Ensure projects are implemented in line with donor proposals and requirements and in accordance with Medair, donor, country and international standards
