 Position Status: Full Time.
 Section/Unit: Finance and HR Department.

 Supervisor: Deputy Finance and HR Manager.

 Duty Station: Red Sea, Port Sudan.
 Duration: 06 months, with possibility for extension, depending on funds.

 Background:

Medair is a humanitarian INGO whose mission is to relieve suffering in some of the world’s most remote and devastated places. Currently, Medair is implementing projects in Khartoum and Blue Nile States, in the sectors of health & nutrition, WASH, and NFI. 

 

The Finance Department have the responsibility to coordinate the annual operating budgets, accounting, payroll, asset management planning and tracking records in coordination with the logistics department, job costing, mandated financial reporting and management reporting and the Human Resources department has the responsibility of people management such compensation, hiring, performance management, organization development, safety, wellness benefits, employee motivation, communication, administration and training.



 
 Duties and responsibilities:

Finance:

  • Manage day-to-day needs and administration of the operational safe.
  • Post daily expenses onto Post back sheet and Fin4U and carry out cash counts on a weekly and monthly basis as well as do weekly and monthly reconciliations for Khartoum safes and batches. 
  • Check and submit all expense sheets and cash counts before the formal cash count is done (weekly and monthly). 
  • Ensure timely and accurate closure of the month.
  • Management of day-to-day accounting functions.
  • Ensure that all paperwork is in accordance with Medair procedures and regulations.
  • Preparation of the monthly payroll for national staff.
  • Review all PDFs and invoices on monthly basis to ensure completeness and have properly been approved by the concerned personnel and with the proper coding to projects.
  • Lead statutory deductions (NSI and Taxes) are properly calculated and paid on a monthly basis and paid on time. 
  • Preparation of safe and bank reconciliations for Medair bank accounts on a weekly and monthly basis.
  • Process bank and cash transactions.
  • Assist in preparing a monthly Cash Needs Forecast in cooperation with Project Coordinator.
  • Provide support in other areas as requested by the Project Coordinator. 

 

Human Resources:

 

 Process accurate information that will support the management team:

  • Maintenance of an updated database with all the information about current employees of the organization supporting the Port Sudan office, including personal information, salary, time in the organization, and past grievances, if any.
  • Keep documents related to the aforementioned activities stored in an orderly fashion.
  • Ensure compliance with human resources-related obligations including labour laws and human resources policies.

 

Facilitate recruitment and new hire processes:

  • Co-ordinate and support all aspects of the recruitment and selection process of national staff for all the projects, in liaison with HAC level and Ministry of Labour at the State level ensuring that Medair’s recruitment process follows good practice and is according to the law.
  • Keep documents related to the recruitment and selection process stored and filed well.
  • Preparation of national staff employment contracts and contract updates/modifications 
  • Deliver initial orientation to newly hired employees.

 

Facilitate payroll and benefits administration:

  • Record updated information on newly hired employees, employee changes in salaries, job titles, or work location. 
  • Keep accurate records of employee benefits and extra compensations.
  • Following up with NSI to ensure that national staff have NSI numbers and are contributing to the Fund.

 


 
 Minimum Qualification, Skills and Experience Required:

Qualification

Bachelor’s degree in business administration, finance, human resources or other relevant courses.

University degree in a relevant subject

 

Work experience

2 years post-qualification professional experience in a similar or related fieldExperience within an international NGO working in the Sudan context

Intercultural experience

Previous experience working with other cultures 

IT experience

Computer literate with good working knowledge of Microsoft Excel, Word and Outlook.Experience in drafting spreadsheets, databases, financial reports

Languages

  • High level of written and spoken Arabic
