 Background:

ROLE PURPOSE: 

As a member of the EUD’s Project Management Unit (PMU) and Human Resources team you will be the trusted partner of the HR Manager.  The role is supportive of the Country office HR Management, personnel administration and recruitment in compliance with the Global and Regional policies and procedures. The HR assistant will prioritize EUD recruitment gaps in all areas as the position is part of the EUD PMU, which is responsible for the overall smooth implementation of the project.

CHILD SAFEGUARDING:

Level 2: either the post holder will have access to personal data about children and/or young people as part of their work; or the post holder will be working  in a ‘regulated’ position (accountant, barrister, solicitor, legal executive); therefore a police check  will be required (at ‘standard’ level in the UK or equivalent in other countries).



 
 Duties and responsibilities:

KEY AREAS OF ACCOUNTABILITY : 

HR Operations

  • Handling employees contracts 
  • Processing intern payroll
  • Consolidation of HR Reports
  • Monitoring group inductions
  • Archiving of personnel files (hard and soft copies)
  • Drafting of work Certificates
  • Consolidation and follow up of annual leaves planning
  • Supporting the organization of meetings, and other HR events
  • HR Monthly Updates of headcount and organograms
  • Support the HR Management; coordinate HR key activities

Recruitment

  • Archiving and updating recruitment files
  • Support and coordinate the recruitment process for the teams by making the longlist, liaising with candidates, setting up interviews and tests, planning agendas, following through with references and other administrative checks etc.
  • Lead all the recruitment process for internship positions
  • Advertise on job boards and other supports (newspapers, platforms...)
  • Maintain candidate database, liaising with universities and professional networks
  • Update the recruitment tracker

Other

  • Assist the HR Director
  • Coordinate the travels of the HR Team
  • Supporting events and initiatives of the department including trainings, welcoming visitors, organising send off for departing employee and internal communication
  • Be ready to perform other task of the department or ensure back of the 
  •  HR team members up when required.

 
 Minimum Qualification, Skills and Experience Required:

  • Have at least 2  years of relevant working experience
  • Experience in NGO least 1  sector will be an advantage
  • Excellent planning capacities, management and coordination, with the possibility of a significant workload consists of various duties and responsibilities
  • Good knowledge of computer skills (Microsoft Office Environment)
  • Good communication skills (written and oral)

Good knowledge of English and French (Written and spoken)
