Background: Under the direct supervision of the area manager and dotted line management with the country supply chain manager, the role is to understand the whole supply chain and admin process in SCIS, so he/she can effectively work and coordinate with all supply chain functions for the office in state by working towards the ensuring the right products are delivered to the right location on time and at a good cost. He/she will be responsible for stock controls, warehousing, fleet, transportation (staff and goods), and monitoring of the flow of goods. And assisting the procurement function in liaising with suppliers of raw materials, manufacturers, retailers, and consumers. In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly

Duties and responsibilities:
Warehousing Management all with close coordination with supply chain Officer/ Country Supply Chain Manager: - Stores Management: with close coordination with the supply chain team Responsible of Stores/warehouses supervision (all stores in the state), including maintaining proper store records, proper stacking, proper ventilation, proper safety and security measures, etc.
- Consignee: serve as consignee responsible for the physical receipt/count of all equipment/goods received from suppliers and/or sent from Field to state for maintenance or any other purpose and responsible to dispatch them after maintenance.
- Good Receipt Note (GRN): Responsible for the preparation of Good & supplies receipts notes.
- Dispatch and transportation of goods & supplies: Perform the tasks for transportation from state of purchased/acquired Goods & supplies. Responsible for the preparation of the required detailed waybills. Follow up the loading processes and communications with transporters and the point of delivery, until the receipt of GRN and/or authenticated waybill(s).
- Reporting: responsible for reporting on stock status and consumption tracking of all goods, supplies and items in the entire store in state.
- Stock replenishment: maintain records of the desired minimum & maximum level as per Agency standards. Follow up on the process of replenishment of stocks of all items in the store.
Fleet Management Under the direct supervision of the Senior Supply Chain Officer too. - Ensure all vehicles are always mechanically sound and in good condition according to driver standing instructions.
- Ensure that all drivers adhere to SCIS policy and procedures for vehicle services maintenance and conduct driver’s performance reviews.
- Ensure vehicles hired by projects have agreements and payments made as agreed and on time.
- Allocate vehicles by ensuring they are assigned as per program needs and that the vehicles are fuelled on specified days and fuel liters recorded in the logbook.
- Ensure vehicle insurances and road licenses are renewed when they fall due and copies of the same are properly filed.
- Prepare and follow up arrangements for land/air transport of goods and material from HQ to FOs, in direct relationship with the Senior Supply Chain Coordinator.
- Prepare the necessary documents and logs. for producing the fleet monthly reports.
- Following up with any documents related to SCI vehicles (ownership, disposal and loan).
Asset Management - Under the direct supervision of the Supply Chain Officer or the country supply chain manager to work on performing the Periodical Physical Asset inventory and,
Prepare the updates for the inventory assets register (including tagging and receiving assets disposal forms). - Assist with the HAC annual and bi-annual reports for assets, and donor report on the asset section when required.
- Assist with ensuring all SCI Assets are updated every month.
Procurement and Facilities Tasks - Under the direct supervision of the Supply Chain Coordinator and the country supply chain manager perform dispensing/clearing of requested (petty cash(advance)) for any required logistics work. (Such as advance/instantly paid fees with Traffic Authorities, Casual labor for loading/offloading …etc.)
- Vehicle and generator supplies: monitoring fuel, lubricants, vehicle and generator spare parts and related supplies and producing periodic consumption reports/stock status reports.
- Assist & follow up with the procurement process to ensure availability of all claims supporting receipt documents as to be paid within the SCI payment terms.

Minimum Qualification, Skills and Experience Required:
Bachelor’s degree in administrative sciences. An MBA is desirable. EXPERIENCE AND SKILLS - 2 to 3 years of proven experience in administrating Supply Chain functions: - Warehousing, Fleet, Procurement and Asset Management,
- Good command in and ability to understand Supply Chain issues.
