 Duties and responsibilities:

  1. General Responsibilities

of the Position: The Cashier / Finance Assistant assists the accountant and project management in proper financial procedures and standards and ensures correct cash handling and maintenance of the cashbooks.

  1. Main Responsibilities
  • Correct cash handling and maintenance of the cashbooks.
  • Arranging and making authorised daily or regular payments, e.g. travel allowances for field trips;
  • Handle daily cash payments to suppliers and contractors.
  • Before any payment: checking documents for validity, completeness and accuracy as well as line of approval.
  • Assuring that payments are made based on complete documentation.
  • Translation of vouchers and related documents in English.
  • Handling the project cash and keeping accurate records for cash books (SDG, EURO).
  • To maintain physically separated cash box for each of the running projects at Kassala safe.
  • Booking in FundsPro cashbook software.
  • To maintain the daily registration of cash transactions in the electronic and manual cashbooks of the different running projects and to monitor their cash flow.
  • Keeping records of advance payments and ensures timely settlement.
  • Close the cashbook on daily basis.
  • To prepare the cashbook reports on timely and regular basis (weekly, monthly, annually).
  • To follow donors’ procedures for cash release and ensure invoices delivery.
  • Assisting the Accountant for projects monthly financial reports.
  • The position requires a high sense of confidentiality of project finance and cash movements.

  1. Specific Responsibilities
  • Organizing and maintaining standard filling systems for cash book and vouchers.
  • Keeping record and control of participants lists of project training and stock of project material.
  • Disburse funds to Logistics Department for procurement of project items according to HoP and Finance Officer authorized documents.
  • Any other additional responsibility, in coordination and agreement with the Finance Officer and HoP, if it becomes necessary during the duration of the project.

 


 
 Minimum Qualification, Skills and Experience Required:

Qualifications:

  • Bachelor’s Degree in Accounting . 
  • At least 2 years of working experience in a similar position with local or International NGO experienced in using accounting systems for example Fundspro. 
  • Excellent MS Office skills (MS Word, MS Excel, MS Access) is mandatory.
  • Excellent English language skills (reading, writing, speaking) is mandatory.
  • Arabic language skills (reading, writing, speaking). Understanding of local dialects is a plus.
