POSITION SUMMARY:

Working under the overall responsibility of SCO Coordinator/Manager, Asset Management Officer will be responsible for ensuring the effective management, tracking, allocation and disposal of organizational assets in accordance with internal policies and donor regulations. This role focuses on maintaining an accurate and up-to-date asset register, supporting physical verification and ensuring all assets are tagged and traceable throughout their lifecycle.



 
 Duties and responsibilities:

ESSENTIAL JOB FUNCTIONS: 

 

Ensure inventories, assets and stock records and procurement trackers are compiled, updated and maintained in the shared folders with hard copies in a secure place.

 

Asset Registration and Tagging:

  • Being in charge of asset control ensure that all assets lists are adequately updated and share with all field office.
  • Maintain a comprehensive and centralized asset register, ensuring all assets are properly recorded upon receipt.
  • Coordinate with procurement and logistics to ensure all capital equipment is tagged with asset IDs and barcodes.
  • Classify assets in line with donor guidelines (capital vs non-capital) and organizational thresholds.

 

Asset Tracking and Allocation:

  • Track assignment, movement and condition of assets across all offices and project locations.
  • Ensure proper documentation for asset handover between staff, locations and departments.
  • Monitor asset usage to avoid misplacement, unauthorized use or loss.
  • All assignment form for the equipment that is assign to staff are available and reconciled with master asset list.
  • Ensure accountability, documentation and handover paperwork are correctly done (I.e. Donation certificates and/or asset transfer certificates)
  • Prepare and review assets and inventory list and ensure the verification process in all offices/HFs to determine existence, condition and ensure accurate updated asset register in accordance to RI asset management policies.

 

Physical Verification and Inspection:

  • Lead quarterly and annual physical verification of assets, reconciling findings with the asset register.
  • Investigate and report any variances, losses or damages to relevant management.
  • Support internal and external audits with accurate records and required documentation.

 

Asset Maintenance and Lifecycle Management:

  • Monitor the condition and serviceability of assets, coordinating with relevant teams for maintenance and repair.
  • Maintain service and warranty records for critical assets such as generators, IT equipment and vehicles.
  • Track asset depreciation and prepare recommendations for asset replacement or disposal.

 

Asset Disposal:

  • Manage the disposal of assets in accordance with donor and organizational procedures.
  • Prepare disposal plans and coordinate approvals, donation certificates or sale documentation as applicable.

 

Compliance and Reporting:

  • Ensure adherence to donor regulations, organizational asset policies and country-specific legal requirements.
  • Prepare and submit monthly asset reports to country office, RSO and GSO.
  • Provide support during asset-related investigations or incident reporting.

 
 Minimum Qualification, Skills and Experience Required:

QUALIFICATIONS AND EXPERIENCE: 

  • A Bachelor’s degree is required and Master degree will be plus in a related field.
  • 3-5 years’ experience with an international NGO in similar position.
  • Strong knowledge of asset management systems and tools
  • Excellent attention to detail, documentation, and organizational skills.
  • Proficiency in MS Excel and asset tracking tools.
  • Fluent in English oral and written
  • Honest and trustworthy
  • Knowledge of donor regulations (USAID, ECHO, UN, etc.) related to asset management is an advantage.
  • Human Relation skills, including integrity and ability to work with minimum supervision and under pressure preferred.
