 Background:

The HR Assistant is responsible for supporting Human Resources function at Country Office in Port Sudan, HR Assistant responsibilities include maintaining proper HR records, recruitment, staff orientation, Leave process and administration of all Human Resources matters at Country Office and necessary support to the field Offices



 
 Duties and responsibilities:

1. Administration of Human Resources functions :-

a) Participate in the HR manual's implementation.
b) Ensure proper documentation and procedure followed for all staff transactions such as appointments, confirmation, promotion, transfer, re-assignment, separation, etc.
c) Ensure completion of all documents necessary for personal files, such as but not limited to, recruitment documentation, signing of code of conduct, employee ID copy, bank account opening confirmation … etc.
c) Maintain all staff files and ensure it’s well organized and updated.

 

2. Staff Recruitment and Contracts

a) Assist handling recruitment process, including liaison with labor department in HAC, initiating advertisement for the national staff positions. Follow the recruitment process of CIS to have employees on board.
b) Advertise all existing vacancies both internally and externally and source from existing database.
c) Work closely with HR Officer in preparing interview schedules.
d) Prepare and send invitations for written test and oral interviews as per schedules to the shortlisted candidates.
f) Ensure Orientation is provided for new staff joining the Country Office.
g) Follow-up probation periods of staff and timely confirmation/non-confirmation within stipulated period.

 

3. Leave Process

a) Maintain and update leave records. Submit monthly leave record

4. Performance Management system
a) Assist with the implementation of the Performance Management system and ensure the PM schedule is followed properly.
c) Receive annual appraisals from CO/ field office and share with HR CO.

 

4. Staff Training & Development

a) Assist in activities related to staff development and training 
b) Maintain and update training records for all CIS staff.


5.Assisting in Separation Payment

 

A) Sending the Clearance and Exit Interview Forms to the separating Staff and sharing the signed copies with the relevant staff 
B) Preparing Service Certificates for separating employees with relevant and accurate information.


6. Any other assignment  Performs any other assignment as required by HR functions or Mission Management

 


 
 Minimum Qualification, Skills and Experience Required:

Required Qualifications and Competencies:

Education: Minimum Bachelor's degree in relevant subject from reputed University, preferably with major in Human Resources
Experience: 2 years working experience in human resources. Experience in an International Organization will be given preference. 
Language:  Good communication skills (written and oral) in both Arabic and English.
Computer skills: Word processing, Spreadsheet, familiar with internet are essential. 
Others: Ability to work in a team environment; Good interpersonal skills
