 Background:

WHO WE ARE

 

The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We act in response to emergencies and at the same time promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

 

THE PURPOSE

 

The Fleet Administrator support the Vehicle Fleet Manager (VFM) by handling a range of administrative duties, including generating reports, maintaining accurate records, and managing the fleet database, alongside supervising vehicle registration and deregistration processes, securing necessary licenses and permits, and coordinating with import/export teams; it also involves close liaison with field sites to ensure consistent reporting and administrative compliance, as well as meticulous supervision of insurance registration, renewals, and the complete handling of insurance claims.

 



 
 Duties and responsibilities:

  • Carry out administrative tasks related to the Fleet unit. 
  • Monitor the workshop chancellery stock and replenish it when necessary. 
  • Distribute internal workshop/Fleet mail within the workshop in Port Sudan.
  • Ensure weekly hours/Mileage reading are submitted from the field.
  • Follow-up with departmental messages, and files all important messages related to fleet according to the ICRC standard. 
  • Ensures sale/donation/archive Vehicle file of all ICRC assets are up to date, 
  • Follow-up in coordination with the Car Dispatchers on accident cases and ensures that the Fleet management IT Tool (Fleet wave - FWC) is updated, and reports submitted to the VFM. 
  • Ensures data entry in the fleet program “Fleet Wave”, (Fuel, Repair Vehicles, and Stock)
  • In coordination with the VFM, organize and prepare monthly fleet KPI report. 
  • Review fuel usage and report variances/discrepancies to superiors immediately 
  • In Coordination with the delegation’s Security Focal Point, assists with on-the-spot accident response and dealing with authorities/local insurance providers to obtain applicable documentation. 
  • Collect all relevant information about possible damage caused by accident and inform the supervisor immediately. (With the Car Dispatcher)
  • Open the accident cases (Crash) in the database. And complete the file according to regulation. 
  • Monitors and collects information from vehicle monitoring systems (Speedcast GSAT tracking system)
  • Report immediately to VFM any identified malfunctioning of the GSAT tracking system.
  • Creates Supply Request (SR) for workshop supplies and fuel as instructed. 
  • Process HAC Travel Permit request as needed in coordination with Welcome and management.
  • Submit and follow-up HAC Travel Permit with HAC.

 
 Minimum Qualification, Skills and Experience Required:

  • University degree in Business Administration.
  • Fluent in written and spoken English and/or French.
  • Computer proficiency. 
  • ​3-5 years’ experience in administration and fleet management.
  • Very good knowledge of political, social and cultural ICRC operational context.
  • Driving license, succeeded in ICRC driving test.
  • Proficient at Digitalization and Data Management, Governance and Compliance and Asset management
  • Skilled in the following competencies: Leadership, Accountability, People management, Teamwork & Collaboration, Representing the ICRC, Beneficiary & Client focused.
