Médecins Sans Frontières (MSF) - Spain is an independent international medical humanitarian organisation that delivers emergency aid in more than 60 countries to people affected by armed conflict, epidemics, natural or man-made disasters or exclusion from healthcare.
Execute the pharmacy/medical warehouse storing activities in order to keep pharmacy stock above security level and following recommended conditions (temperature, humidity, etc.) under the supervision of the Medical Warehouse (for OCBA) or Pharmacy Supervisor, and in collaboration with the logistics team.
Duties and responsibilities:
Accountabilities
Supervising material ordered and dispatching in order to ensure rational use of the items.
Receiving orders and deliveries, identifying potential disparities against cargo manifest or others and reporting them, storing materials in accordance with the system in place, in order to ensure continuous availability. It includes:
Ensuring good storage conditions of all medical items in the pharmacy in accordance with pharmaceutical standards to ensure continuous availability.
Ensuring correct fill in entries or out movements on the stock cards.
Carrying out or participating in regular inventories of PZU central stock including EPREP stock.
Following up stock levels with regards to alarms thresholds, stock out, expiry dates and drugs to expire in the following 6 months.
In case deploy to the field, prepare orders of the different units (departments, wards, others), ensuring proper packaging, dispatching and reporting any anomalies or changes in consumption patterns to the Pharmacy Supervisor. Informing Pharmacy Supervisor as soon as stock reaches alert limit.
Controlling warehouse facilities to ensure materials are kept in good keeping conditions and that includes:
Monitoring temperature in the warehouse and ensuring that products requiring cold chain controlled are suitably stored and monitored. Prepared and transported appropriately according to MSF Cold Chain requirements.
Ensuring cleanliness of premises (stock pharmacy) and ensuring vectors-controlled measures are in place in close collaboration with the logistics department.
Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the line manager of any problems arising in the course of the work, particularly with regards to damage, loss, attempted break-ins or theft in the warehouse.
Ensuring that items to be quarantined (on-going quality alerts) or to be placed in quarantine zone (batch recalls, expired or damaged items) are removed from the stock and safely locked.
Following up stock levels with regards to alarms thresholds, stock out, expiry dates and drugs to expire in the following 6 months. Preparing reports and passing it to the supervisor.
MSF Section/Context Specific Accountabilities
Report missing material/ damage/ robber.
Inform the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or theft in the warehouse. ·
In case of any deployment to the field, management of the main project pharmacy, includes:
Ordering of drugs for the facility, ensuring good levels of the stock and informing in a timely manner about the shortages and risks of shortages.
Assisting the people in charge of preparing the weekly orders of the wards, to ensure a proper use of the drugs and medical material and avoiding extra orders.
Support implementation of appropriate quality controls and records in the field, to ensure good storage conditions (temperatures, humidity, and light exposure) and availability of drugs and medical material, according to MSF protocols, and national regulations in collaboration with the logistics department.
Perform regular inventories in the project pharmacy and in the wards, including investigations for discrepancies. Ensure proper archiving system in the pharmacy department.
Training MoH staff working in the Pharmacy, includes:
Teaching new employees how to process with inventories, preparing requests, quality insurance instauration, labelling medications etc.
Supporting the MoH counterparts in their responsibilities regarding monitoring of drug consumption, stock management and preparing/receiving orders.
Flexibility to support our supported facilities like River Nile (Atbara), White Nile (Kosti), Kashafa, Tendelti etc.
Flexibility to work in central pharmacy warehouse, project pharmacy and PHCCs pharmacy.
Minimum Qualification, Skills and Experience Required:
Education
Essential, secondary school. Desirable, medical related studies as well as pharmacy.
Experience
Essential previous experience of at least 2 years in similar or relevant positions, Essential previous experience in MSF or other NGOs in developing countries.
