 Background:

Execute administrative and finance related tasks and follow up of project accountancy to support the Project Finance Manager following  MSF standard and procedures, in order to ensure legal compliance and keep a strict control over monetary resources to achieve project objectives.



 
 Duties and responsibilities:

  • Implementing cash management procedures in order to ensure the highest control and security,  assisting the Project Fin Manager in the prevision of monthly treasury and planning in order to en-sure the coverage of daily needs, advances on salaries, payroll, etc. 
  • Processing the payment to suppliers and keep strict on all documentation involved, informing the administration manager of any sort of disparity
  • Carrying out all accounting tasks and activities, classifying, preparing and filing of all accounting pieces in accounting software, in order to ensure strict control of all expenditures and the reliability of statements and documentation.
  • Following up of all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange a renewal or look for some other alternative.
  • Making all administrative information available to the staff (posting, meetings, etc.), supporting  the Project Fi-nance Manager in translating documents into local language and assisting in meetings upon request.
  • Any other administrative task delegated by the Project Finance Manager.
  • Perform payment of tax liabilities
  • Manage accounting and bookkeping of cash and bank registers in coordination
  • Prepare BKK documents for registers under his/her responsibility
  • Process cash and online bank payments
  • Requesting cash transfer from main safe to petty cash box
  • Performing daily cash counts and investigating any discrepancies
  • Support in cash withdrawals from bank
  • Following-up on cash advances and ensuring they are duly settled
  • Prepare all documents and process bank payments 
  • Performing monthly reconciliations before closing the monthly accounts, managing bank reconciliations and monthly bank statements if applicable
  • Performing currency exchange operations when required
  • Assisting with the preparation of salary payments as required
  • Active participation in other activities related to Accounting, under request.
  • Accounting management for projects out of Port Sudan, being payments one of main activity
  • Focal point for any communication from projects out of Port Sudan, related to payments, following the subject until get the expected results for both sides.
  • In charge to carry out an organized BKK either soft or hard copy related to his duties.
  • To be able to cover annual leave for finance team.
  • Monthly File and scanning of bookkeeping for projects out of Port Sudan assuring it fulfills with the OCA standards.
  • Input in Unifield payments followed via bankak.
  • Input in Unifield payments followed in petty cash USD & SDG.
  • Any Other relevant tasks assigned by the supervisor.

 
 Minimum Qualification, Skills and Experience Required:

Education: Desirable finance, business or administration related diploma.

 

Experience: Essential previous working experience of at least two years in 

                      relevant jobs. 

                     Desirable experience in MSF or other NGOs in developing countries.

 

Languages: Mission language and local language essential.

 

Knowledge: Essential computer literacy (word, excel, internet).
