 Duties and responsibilities:

Position Summary:

RI is seeking a motivated person who plays a vital role in supporting the efficient management and administration of contracts within the RI-Sudan humanitarian program portfolio. This position involves assisting with the preparation, review, and maintenance of contracts, ensuring compliance with organizational policies, donor requirements, and legal standards. The Grants and Contracts Officer will also manage and support partnerships with donors, INGOs, and local NGOs, acting as the primary contact point. This role includes facilitating Organizational Capacity Assessments (OCAs) and Due Diligence Assessments (DDAs), Non-disclosure Agreements (NDA), Teaming agreements (TA), Memorandums of understanding (MOUs) etc. to enhance the organization’s ability to establish and maintain effective partnerships with National Organizations, and external parties.

Key responsibilities include drafting and reviewing contracts, maintaining accurate records, coordinating with internal and external stakeholders, and ensuring compliance with all relevant regulations. The ideal candidate will be highly organized, detail-oriented, and able to manage complex information efficiently in a dynamic environment. This role requires a proactive approach to problem-solving and a strong commitment to supporting the organization’s mission and strategic goals.

 

Position Responsibilities and Duties:

Contract Preparation and Review:

  • Assist in drafting, reviewing, and finalizing contracts, including service agreements, sub-grants, and partnership agreements.
  • Ensure compliance with organizational policies, donor requirements, and legal standards.
  • Collaborate with relevant departments to gather necessary information for contract development.
  • Ensure all contracts are shared with RSO for review and signature authorization. 
  • Ensure the contracts tracker is constantly updated. 

Contract Administration:

  • Maintain an organized filing system for contracts and related documents.
  • Track contract deadlines, renewal dates, and deliverables, providing timely reminders to stakeholders.
  • Monitor contract performance and compliance, addressing any issues that arise.

Documentation and Record-Keeping:

  • Prepare and maintain accurate records of contract amendments, extensions, and terminations.
  • Ensure documentation is complete and archived by organizational and donor requirements.

Communication and Coordination:

  • Coordinate with internal and external stakeholders regarding contract and partnership-related inquiries.
  • Work closely with legal advisors, Grants, finance teams, and program managers to resolve contract issues and facilitate smooth execution.

Reporting and Analysis:

  • Assist in preparing reports on contract status, compliance, and performance.
  • Analyze contract data to identify trends and opportunities for process improvement.

Compliance and Risk Management:

  • Stay updated on relevant regulations, policies, and best practices related to contract management.
  • Assist in ensuring compliance with legal, regulatory, and organizational requirements

 
 Minimum Qualification, Skills and Experience Required:

Qualifications:

  • Diploma in Business Administration, communications, social sciences, or a related field.
  • Minimum of 2 years of experience in a previous Local NGO experience in the same or similar position.
  • Strong understanding of contract law, compliance, and procurement practices.
  • Excellent organizational and time-management skills.
  • Attention to detail and accuracy in documentation.
  • Effective communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and contract management software.
  • Excellent verbal and written communication skills in English.
