 Duties and responsibilities:

Job Summary: 

Catholic Relief Services (CRS) is the official international humanitarian agency of the Catholic community in the United States. CRS operates in over 100 countries, providing aid without discrimination based on race, religion, or nationality. Their work spans emergency response, HIV, health, agriculture, education, microfinance, and peacebuilding programs.

Job Summary: In this role, you will support CRS programs by maintaining relationships with various official and private bodies, including HAC, Immigration, Labor Office, and the Ministry of Foreign Affairs. Your responsibilities include processing documents and papers transparently and promptly and communicating CRS's mission and work in Sudan. You will also ensure high-quality service and resource stewardship to support effective operations and programming.

Job Responsibilities:

Liaison and Public Relations:

  • Track CRS annual registration and other official requirements in Sudan.
  • Process and obtain work/stay permits, entry/exit visas for international staff and visitors, and keep the Visa Tracker updated.
  • Maintain and update the list of international staff visas, ensuring timely renewals.
  • Communicate challenges and new procedures to senior management promptly.
  • Assist with entry visas from Sudanese embassies for international staff and national staff on external assignments.
  • Recommend improvements for CRS's relationships with HAC and other government stakeholders.
  • Assist with staff arrivals/departures at the airport if needed.
  • Obtain domestic travel permits for international staff and visitors.
  • Coordinate with INGOs, NGOs, government departments, UN agencies, and private institutions, sharing lessons learned.
  • Assist program managers in obtaining Technical Agreements endorsements from HAC.
  • Support the submission of annual and biannual reports to HAC.
  • Represent CRS at HAC meetings and workshops as needed.
  • Uses written and verbal communication to effectively represent the mission and work of CRS.

 

  • Use written and verbal communication to represent CRS's mission and work effectively.
  • Process both external and internal flight bookings and ensure documentation is kept on file for WFP bill analysis.
  • Request WFP monthly billings and process payments timely to facilitate staff travel and liquidate advances.
  • Prepare drafts for international staff locator and forward to the admin manager bi-monthly.

Administrative Responsibilities:

  • Arrange the hotels/accommodation contact list and coordinate bookings as needed.
  • Prepare and follow up on payments for hotels/accommodation.
  • Perform any administrative tasks as required by the supervisor.

 
 Minimum Qualification, Skills and Experience Required:

Basic Qualifications:

  • University degree in related social sciences.
  • Fluency in English, both written and verbal, with clear email communication skills.
  • Proficiency in computer software, especially Word and Excel.
  • At least three years of experience, preferably with NGOs, and skills in representation.
  • Experience dealing with government and private agencies is essential.
  • Additional education may substitute for some experience.

Required/Desired Foreign Language: Arabic, English

Travel Required: Not required.

Knowledge, Skills, and Abilities:

  • Good time management and multitasking skills.
  • Strong customer service orientation with good communication and interpersonal skills.
  • Proactive, resourceful, solutions-oriented, and results-driven.
  • Analytical abilities and problem-solving aptitude.
  • Proficiency in MS Office.

Preferred Qualifications:

  • Experience with typing/word processing, data entry, and office equipment.
  • Proficiency in MS Office package (Excel, Word, PowerPoint, Visio) and information management systems.

  • Supervisory: None.
  • Internal: CRS Port Sudan staff, Country Representative, HoOPS, HOP, Chief of Parties, PMs, FM.
  • External: HAC, Immigration, Labor Office, Ministry of Foreign Affairs, Embassies, official and private bodies, suppliers, and vendors.
