Position Summary:

Under the direct supervision of the AM/Office Coordinator / SCO Coordinator and technical supervision of the Medical Logistics Coordinator, the Medical Logistics Officer is responsible for the day to day management of the pharmacy warehouse as per warehouse management recommended guidelines and standard operating procedures (SOP) at Wad Al-Managil, Al-Jazira level. The Medlog Officer has to ensure that the pharmacy stock card system, request and consumption follow up tracking and file management in the medical commodities warehouse is well organized and up to date, will maintain the inventory control system and ensure accurate documentation for the receipt and dispatch of all stocks, and will also ensure the security of all stocks in his/ her custody. Any loss of commodities in the warehouse should be immediately reported to the AM and SCO Coordinator.

In addition, The Medlog Officer will provide support to facility staff working in the store rooms and will build their capacity in the area of pharmaceutical commodities and store room management.   He/ she will supervise and support health clinic staff in the management of drug storage and dispensing at the clinics as well as proper drugs dispensing, registration and reporting (daily, weekly and monthly consumption reports). The Medlog Officer will be responsible for the supervision and management within the health facility pharmacy and dispensary and shall ensure that facility staff are providing quality services, centered on beneficiaries’ satisfaction

• Ensure that pharmaceutical/medical commodities/supplies in the warehouse are received, stored and transported in accordance with internationally accepted standard practices.
• Ensure maintaining a monitoring Data logger within the warehouse, and ensure that proper and required temperature is secured for medicines, including Cold-Chain items all the time, within his warehouse.
• Ensure implementation of First Expiry First Out approach when releasing stock, and report any potential near to expiry items to the Medical Logistics Coordinator, Health Coordinator and other relevant RI staff.
• Being full responsible for the medicines and medical supplies within the warehouse in coordination/consultation with the Medical Logistics Coordinator and Health Coordinator. 
• Support to ensure that medicines and medical supplies at the pharmacy store are well organized on different shelves: oral, injectable, infusions, external use, and non-medical items. 
• Use of stock cards is properly implemented at the drug warehouse. Stock cards are updated each time and up to date. Each drug will have a stock card correctly filled and up to date
• Ensure preparation of medical orders and timely distribution of medical supplies to the health clinics as per clinic requests.
• All forms completed accurately and timely – GRN, Stock/Bin Card, WH Ledger, Discard, Loss, Theft, Waybill, SRF, etc. Ensure all warehouse transactions are documented per as per RI Policy.
• Ensure consumption monitoring and reporting. Support pharmacy doctors in generating medical supplies stock and consumption reports as needed. 
• Support organize and carry out routine stock-taking of pharmaceutical supplies as required
• Re-packing and labelling all shipments for onward delivery.
• Complete accurate Goods Received Note (GRN) for all items received in the warehouse and report on any discrepancies, losses, quality issues and near to expire items immediately. 
• Ensure Monthly stock-taking and reporting of all pharmaceutical supplies 
• Expiry dates written on the packs are to be seen easily. Expired drugs are removed from the pharmacy and stored separately until destruction/safe disposal.
• Reception of medical cargo in cooperation with logistics and check the packing list and report immediately to pharmacist any inaccuracies. Organizing the items received on the shelves.
• Communicate regular updates on shipment tracking for receipt and facilitate shipment from warehouse to partners or intend beneficiary.
• Under the supervision of the AM / SCO Coordinator, the Medlog Officer will coordinate closely with RI Operations team on the tracking arrival and movements of all shipments.
• Gives specific directives and/or participates in stock reception and physical stock counts according to needs and necessities; and help in the requisitions based on the consumption report.

• Diploma or Higher-level education with at least 5 years of relevant work’s experience.
• Diploma in Pharmacy or Nursing or Logistics or any relevant qualifications, with several years (at least three years) of work in warehouses where medical and non – medical commodities are managed. 
• Having worked in hospital pharmacy or pharmacy managed by reputable NGOs or UN agencies such as UNICEF, UNFPA and/ or WHO. 
• Experience in working with NGOs and in managing pharmacy and pharmaceutical supply chain and warehouse/inventory management.
• Ability to focus on priorities, good management, coaching and communication skills
• Proficient in spoken and written English
• Computer literate with skills in excel sheet, Microsoft office and Power Point presentation, and knowledge of inventory software/ reporting
• Understanding of complex emergencies; experience of working in insecure and crisis environments.
• Knowledge of state laws and regulations.
