Job Profile

The main responsibility of the Partnership Finance Coordinator is to work closely with Sr. Finance Manager, to ensure the timely, efficient and effective delivery of a high-quality sub-grants support mechanism to implementing local partner organizations in Sudan–including organize required training on finance and technical support, development of administrative, and other project management tasks as required. S/he will be conducting monitoring visits –on behalf of Sr. Finance Manager, and perform other tasks as assigned by the Sr. Finance Manager. In addition, s/he will ensure the sub grants are utilized in accordance with RI guidelines and donor compliance.



 
 Duties and responsibilities:

  1. Accountability and Complexity
  • Support the Sr. Finance manager in the administration and management of all financial aspects of grant/donor-funded projects.
  • Create and update Payment Tracker and Due-diligence Tracker For Finance Department 
  • Review partner budget planning/detailed breakdowns as required.
  1. Donor Compliance
  • Ensure donor compliance of the grants is met, with follow-up on outstanding paperwork as necessary.
  • Support the preparation of documentation and responses to audits, working with the Sr. Finance Manager. 
  • Participate in grants opening and closing meetings, sharing donor compliance requirements with project teams and heads of departments, and follow up on agreed action points.
  • Facilitate and ensure regular and effective BVA meetings/grant review meetings and follow up on key grant management and compliance actions.
  • Verify sub-grantee and partner documentation is compliant with all donor and RI policies, guidelines, rules, and regulations.
  • Make field visits to verify that documentation and operational performances are in agreement.

  2. Partner Supports
  • Review all Partners Financial Report, review Partners documents as per Policies and Procedures.
  • In put all partners transections in Netsuite Accounting system and attach all supporting document in the system. 
  • Review/submit partner fund requests to Finance team for Foreign Account transfer process through RSO/GSO.
  • Collect partners’ Acknowledgement letters for fund transfer received.
  • Communicate with partners for information sharing, coaching/mentoring, and collecting required paperwork.
  • Field visits to partners for support purposes.

  2. General Support
  • Provide on-job training and guidance for junior staff 
  • Support Sr. Finance Manager in External, Internal, and Donor Audit.  Required to review the Audit sample transections, and arrange the all documents as per the Audit sample in One Drive or SharePoint. 
  • Support and follow-up for Foreign Account transfer process of partner fund request
  • Getting vendor IDs through NetSuite for each partners for payment process
  • Support GSO payment team for vender account confirmation process and collect additional info when issue arises
  • Regular contact with partners for information sharing, coaching/mentoring and collecting required paperwork
  • Communicate to RSO for agreement and modification approval process if required 
  • Other tasks as assigned by Supervisor

 Minimum Qualification, Skills and Experience Required:

Essential criteria

  • Bachelor’s degree in a relevant field
  • Minimum five years professional experience in grant management, accounting and administration in INGO/NGO 
  • Strongly partnership experience on  INGO, NGO and Civil Society Organizations (CSOs) 
  • Experience in financial assessment and management of grants
  • Knowledge/understanding of different donor priorities and compliance issues an advantage

 

 

Desirable criteria

  • Excellent knowledge of Excel and other Microsoft Office programs, computer software
  • Ability to work independently, within and across teams 
  • Ability to work effectively with people of diverse backgrounds
  • Effective verbal and written communication skills in English and Myanmar
  • Experience on Health Related Program will be asset
