 Section/Unit: General Food Assistant (GFA)
 Grade Level: C
 Supervisor: Logistic officer
 Duty Station: Kassala, with frequent visits to the field
 Duration: One Year
 Closing Date: 10 Jan 2025

 
 Background:

Minimum bachelor's degree, preferably in management or administration 



 
 Duties and responsibilities:

  1. Commodity Receipts (35%)

 

  • Record all commodities received from donor (WFP) to stores into the LESS Last Mile application.
  • Ensure the scanning of waybills is conducted in the actual receiving location.
  • Replacement of any lost device to ensure continuity of LESS Last Mile functionality at that location.
  • Report any LESS Last Mile malfunctions to troubleshoot issues to the concerned person.
  • Provide monthly report to the logistics officer in the respective hub on all food received via LESS Last Mile whether scanned online or offline.
  • Responsible for maintaining proper stacking of the food commodities,
  • Update timely inventory ledger(s) and stack cards,
  • Document any discrepancy while receiving food commodities.

  1. Commodity Dispatches (30%)
  • Responsible for commodity dispatches as per plans,
  • Ensure preparation of waybills with correct dispatch information,
  • Co-ordinate with transporters the planning of moving supplies,
  • Update all records immediately upon each dispatch.
  • Allocating adequate space in the correct storage conditions to store the goods and permit easy access for physical counts 
  •  Ensure food commodities stocks are palletized and are stored separately from others. 
  • Ensuring the driver signs the receipt waybill/delivery docket s/he is provided with the correct copy, and the consignee copy is retained and properly filed for warehouse records

 

3. Other activities (15%)
  • Conduct periodic physical counts of stock in the warehouses,
  • Be responsible for cleaning the warehouses daily,
  • Segregate any damaged stock from the good ones,
  • Maintain a proper filing system.
  • Ensuring food commodities of store materials are in good and functional condition:  pallets, tarpaulins, scales, trolleys, ladders, stitching machines, basins, fire extinguishers etc
  • Ensuring only authorized personnel enter storage areas
  • Produce an updated warehouse stock report every month and send to HoPO, PMs/AMs/SPOs,  
  • Conduct periodic physical counts of stock in the warehouses,
  • Ensure day-to-day procurement support as necessary
  • Assist in the preparation and dissemination of documents and information on procurement as per the needs of Head-of field office.

 

  1. Contribute to the Success of the CIS Partnership Approach (10%)
  • Support partners in-store management process of food commodities in coordination with partners makes sure food commodities are in time with the exactly issued amount
  • Support partners in logistician issues related of training /workshop supplies, and materials   
  1. Uphold CARE´s values and contribute to the CO shared priorities (5%)
  • Follow the CARE Safety and Security Management Plan (SSMP) and comply with it at all times
  • Be aware of CARE’s commitments to Gender and Diversity, and strive to uphold them
  • Be committed to promote CARE’s core values at all times
6. Any other assignment (5%) 

 
 Minimum Qualification, Skills and Experience Required:

At least 2 years' experience; work experience in international agencies or national organizations related to the WFP program of General Food Assistant (GFA) as well as experience in Administration is an asset, good experience in IT-related things.

 

Language: Excellent communication in Arabic and Fluent in English

Computer: Word processing, Spreadsheet, familiar with the internet, is essential. 

  • Ability to work under pressure, and for long working hours. 
  • Cross-cultural sensitivity, adaptable, and flexibility.
  • Good team player.
  • Good report writing and analytical skills
