Alight

Alight came to Sudan in 2004 as one of the first humanitarian responders to the emergency needs of some 500,000 war-affected IDPs and host populations in the Tulus and Gereida corridors in South Darfur. In 2014, Alight expanded services its reach to include East Darfur. Today, Alight serves displaced populations and host communities in Kassala, Gedaref, West Kordofan, and East and South Darfur states. Alight provides lifesaving humanitarian action, recovery, and development services in these five states, with a country office based in Khartoum.

Field offices in Kassala, Gedaref, Nyala, El Daein,serve as the key state hubs for program delivery. Alight’s staff is more than 99 percent Sudanese, with nearly 800 full-time staff joined by over 400 incentive and community health and protection workers in delivering lifesaving programs and durable solutions in Sudan.

Alight is registered in Sudan and works closely with Federal and State Line Ministries to carry out its humanitarian and development mandates.

 Duties and responsibilities:

PRIMARY PURPOSE OF THE POSITION

 

Under the direct supervision of the HR officer, the Human Resources (HR) Assistant serves as a member of the operations team and executes the full range of HR services ensuring their transparency and integrity. The Human Resources Assistant will perform a range of HR tasks to support the accurate implementation of Alight policies and procedures

 

MAJOR AREAS OF ACCOUNTABILITY 

PRIMARY DUTIES/RESPONSIBILITIES                                                                                                 

 

  • Assisting with day to day operations of the HR functions and duties.
  • Provide assistance on general HR queries and follow up actions, to ensure consistent and high quality HR services are delivered.
  • Support with administrative tasks related to recruitments, including posting of vacancies and coordination with candidates.
  • To assist in the advertisement of existing vacancies in the organization, ensuring that the appropriate network is used.
  • To ensure that all the CVs received for vacant positions are properly filed and submitted to the concerned parties as well as ensuring that the stated deadlines are complied with.
  • Support with practical tasks related to staff onboarding and off-boarding, including coordination with the Supply Chain unit.
  • Supporting the interview process as part of the interview panel, ensuring that HR Policies and best practice are adhered to during the whole process.
  • Establish and maintain a proper filing system for recruitment documentation.
  • Support in scanning and uploading files in HR system or related sides.
  • Ensure completeness of all policy forms within one (1) week of employment. 
  • Gather information with clear direction to support the drafting of documents and preparing reports by other staff i.e. overtime and attendance sheets etc).
  • Review timesheets to ensure approval by line managers and check for quality assurance before submitting.
  • Maintain confidential personnel records, HR databases and archives (electronically/hard copies), to ensure data and files are accurately stored and updated in compliance with the established standards.
  • Draft various HR documentation required for the specific area of work and ensuring accuracy and meeting established deadlines.
  • Ensure that staff members fill accurate leave forms.
  • Liaise with other internal units/offices on HR related matters, i.e. payroll, contracts, etc. and provide necessary information in order to enable timely HR services.
  • To ensure that all payments pertaining to the HR function are filled in the appropriate files for easy access to information.
  • Support and advice on the ALIGHT Sudan National Staff Policies and Procedures to line managers and other staff members ensuring that all ALIGHT staff is conversant with the same.
  • Provide support to the organization, facilitation and/or delivery of training and learning initiatives for personnel on HR-related topics.
  • Provide oversight, ensuring compliance by team members with existing policies and best practices.
  • Report any issues affecting staff morale and performance and well-being to the country Management Team. 
  • Support in conduct training sessions on Alight Codes of Conduct and policies on an annual basis.
  • Perform any other duties that may be requested by the supervisor as necessary.

 
 Minimum Qualification, Skills and Experience Required:

EDUCATION, TECHNICAL SKILLS & KNOWLEDGE REQUIRED

 

  • University degree in Business Administration, HR Management, other related fields   with experience
  • Good knowledge of the Sudan Labor law
  • At least 2 years’ relevant experience. Preferred in NGOs 
  • Communication skills.
  • Good report writing skills.
  • Good knowledge of MS Excel and Word.
  • English language is required
