Background: The HRIS Officer will provide support to the Rewards and HRIS Manager in ensuring Quality and timely administration and delivery of Sudan Country HR Systems (Core Oracle, ORC, timesheets and any HR related systems). As well as provide support to Rewards and HRIS manager on the related tasks of Tax and SI. In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

Duties and responsibilities:
ORACLE Management - Coordinate with talent acquisition/recruitment team and field HR team to ensure to receive the required information to update ORACLE HRIS.
- Make sure that ORACLE HRIS and online timesheets of newly joined employees are activated on timely basis.
- Ensure that all staff changes like job title, salary, location, line manager etc. are updated in ORACLE HRIS on regular basis.
- Ensure the creation of oracle account for new joiners and off boarding of leaver as well on Oracle system.
- Ensure the manager reporting line are accurate as on the system and insure the update of staff line management on regular basis.
Effort Reporting Administration: - Ensure that all regular staff have access to their online timesheet accounts and support staff to fix their log in issues.
- Ensure the complete online timesheet processing for regular staff on monthly basis.
- Collection of offline timesheets for staff who are not able to submit their online timesheet due to technical issues.
- Responsible for monitoring timesheet completion including running the super user reports on a weekly basis and following up with staff who have not started to enter hours on weekly basis.
- Ensure the timely follow up with staff on drafting, submitting timesheets.
- Follow with line managers for approving the timesheets of their supervisees.
- Follow with Proxy users in CO and HR team in field offices for submitting timesheets on behalf of users who are not able to access the online system and offline users.
- Ensure filling missing time sheet for staff who had technical issue on ER and flow up with line manager for approval
All Sudan Staff payroll preparation support: - Collect and summarize overtime sheets for support staff in CO and field offices.
- Collect and summarize Temporary staff time sheets for monthly payment for CO and field offices.
- Social Insurance and Personal Income Tax:
- Keeping records of SC staff registration with the National Social Insurance Fund and the monthly payment records in all offices.
- Keeping records and follow up on monthly payment of the Personal Income Tax to SC staff at all offices and keeping proper records.

Minimum Qualification, Skills and Experience Required:
Essential - Business Administration, Human Resource Management or related social studies from a credible institution.
- Minimum 2 years of working experience in a HR administrative role with proven record of managing HR online systems.
- First-rate organizational skills with a strong eye for detail and the ability to priorities effectively whilst working to tight deadlines.
- Excellent skills on Microsoft Excel/Word and analysis and presentation of personnel data
- Good attention to detail
- Strong customer orientation and ability to work collaboratively with HR colleagues Excellent interpersonal and communication skills
- Experience in managing HR records i.e. for both paper and electronic systems
- Good verbal/written communication skills, a clear understanding and awareness of HR processes including the importance of confidentiality.
- Strong communication (written and spoken), and interpersonal skills in English, with experience in managing multicultural teams
Desirable Experience with Oracle system
