Job Title: Communication Officer 

Base: Port-Sudan with visit to state field offices.

Location: Port-Sudan.

Start Date: Immediately.

Contract Duration: 12 Months.

Gross Salary: 600 USD (the payment will be in SDG currency).

Grade level: Grade 3 (out of 5)

Reporting to: Programs Manager, cc to Executive Director and General Director.

 Duties and responsibilities:

Major Functions/ Responsibilities: 

Public relations:

  • Develop and implement communications strategies, campaigns, events and other initiatives in support of HOPE's strategic
  • objectives, including its need for leading share of voice on people in needs and related matters, and ensure coverage of people in needs
  • situations in their country or region in global and domestic media.
  • Research, prepare, fact-check, edit and produce professional media and communications materials for target audiences and
  • ensure their timely dissemination via HOPE's communications channels, ensuring highest quality standards.
  • Support field staff to documenting the activities of the organization with a good pictures, videos, etc. 
  • Making visuals and publications including banners, prints, etc.. 
  • Promote and highlight the organization's mission through public relations activities. 
  • Dissemination and promotion of the objectives of the projects and activities of the organization in the opening and closing of projects.
  • Issuance of employee cards, work cards, etc..

Office Management:

  • Maintain an appropriate filing, retrieval, and archiving system for the Office ICT related documents (hardcopy and softcopy).
  • Keep an update record of the office ICT items inventory.

Provision and replenishing of office ICT supplies:

  • Identify needs in ICT related office supplies (New IT Equipment’s Purchase, print toners cartridge, computers accessories, spare parts, …etc) and establish a follow-up procedure for these items.
  • Undertake purchases and storage of ICT related supplies.

Database of Local Suppliers:

  • Undertake a market study for the IT Equipment’s and Telecom Services and identify the best available Options.
  • Set up and maintain a database of local suppliers that deal with ICT Equipment’s, detailing criteria of quality and specifications, prices, services, ethics etc.

Database Management - Create, administer, and maintain the database systems, and applications to ensure effectiveness of data management. and reporting, for all HOPE Offices:

  • Participate in the database system implementation and associated software and hardware implementation and training.
  • Manage servers and databases Backup according to the designed schedule and ensure full protection of data.
  • Maintain database systems and reporting tools.
  • Install the CO’s Network standard / generated software packages and maintain the setup configuration and bugs.

Network Management of LAN/WAN - Maintain the e-mail, internet connectivity, and network systems.

  • Maintain and configure the email client software (outlook … etc.), new accounts creation.
  • Maintain physical and virtual communication connections, including routers, VOIP Gateways, wireless pointers, switches.
  • Administrate and troubleshoot the network problems and provide solutions to fulfill business requirements.
  • Ensure offices are well connected to the internet and network resources. And resolve problems of connectivity.
  • Administrate, Monitor and maintain the firewalls and software protection, to protect the network from external hackers, spam, Adware, and spyware.
  • Participate in the installation and update the internet software/hardware protocols.
  • Monitoring Internet performance in the field offices, and propose improvement needs when applicable.

Support the IT users for HOPE:

  • Support the users in installing new hardware (Printers, Scanners, Cameras…etc.) and software.
  • Troubleshooting the IT problems users face during their daily routine work.
  • Ensure the security software (Antiviruses, …etc.) up to date, and the user’s data protected against the harmful programs.
  • Provide online support for network client.

Information technology:

  • Managing the website and social media pages by updating information and showing activities and projects. 
  • Supervising the operation and maintenance of the organization's equipment, including computers, laptops, printers, etc..
  • Supervising Google Drive and employee email.
  • Create personnel files for new hires and conduct Induction with direct supervisor of the new hires.

Others

  • Preparation of monthly and quarterly HR Report.
  • Apply and maintain the HR documentation system, in HQ and Field offices.
  • Any other task or responsibility determined by management of HOPE.

 
 Minimum Qualification, Skills and Experience Required:

Minimum Qualification, Skills and Experience Required: 

  1. At least 5 years of related experience in a similar position in IT, media, public relation, Business Administration or relevant;
  2. At least 3 years of experience working for non-governmental organizations;
  3. Education: University degree in IT, media, public relation, Business Administration or relevant;
  4. Bachelor's Degree required; Master’s Degree preferred;
  5. Excellent knowledge of Microsoft Office applications.
  6. Familiarity with the use of graphic design, visual design, social media, website development and publishing software.
  7. Strong ability to work independently, organize work, meet deadlines, maintain composure, prioritize work under pressure, coordinate multiple tasks and maintain attention to detail; and
  8. Fluent written and oral communication skills in English Language;
