 Background:

The overall purpose of this position is to provide overall day-to-day management of Pharmaceutical supplies under BHA project in West Kordofan and South Kordofan.  This included establishing a well-organized drug distribution system to health facilities and leading the identification of the needs of the programme, plan for procurement and receive necessary approval, follow up with logistics team to ensure timely procurement, ensure proper storage system and establish distribution system. Assist PHCs to maintain updated database of essential drugs/supplies, maintain standard and appropriate storage of the essential drugs, assist PHC to maintain proper records of the warehouse receipts, transfers, and disbursements and implement stock cards and balance sheets in the drug warehouse and implement their use in the facilities pharmacy rooms

 



 
 Duties and responsibilities:

Key Role and Responsibilities 

 

Programme Planning, Implementation, and Monitoring

 

  • Leading the identification of the needs of the programme,  plan for procurement and receive necessary approval, follow up with logistics team  to ensure timely procurement, ensure proper storage system and establish distribution system
  • Ensures that all pharmaceuticals purchased through Supply Chain must be received by Supply Chain in the warehouse in coordination with a program staff before being delivered or collected by the requesting program
  • Ensures that all cold chain items must be kept under proper storage conditions at all time and will therefore be prepared at the last minute just before dispatch
  • Work with members of technical Management Team and other relevant departments to establish a well-organized drug distribution system to health facilities and
  •  Ensure PHC to maintain a computerized database of essential drugs/supplies
  • Maintain standard and appropriate storage of the essential drugs in South and West Kordofan Warehouse. 
  • Ensure PHC to maintain proper records of the warehouse receipts, transfers, and disbursements.
  •  Implement stock cards and balance sheets in the drug warehouse and implement their use in the facilities pharmacy rooms.
  •  Support PHC to estimate drugs needed for implementation of  BHAProject in all facilities drug requests and share them with supervisors and other technical staff.
  • Providing proper entry of the pharmacy database monthly base.
  • Maintain standard and accepted drugs consumption system in health facilities pharmacy.
  • Implement the drug consumption forms in all health facilities.
  •  Follow up with health facilities pharmacy to ensure that drugs distributed to health facilities are being properly stored and used.
  • Compile statistics regarding medicine utilization in health facilities.
  • Dispense medicine and medical equipment to health facilities.

He will work and participate actively to supportive supervisions and joint supervision with other staffs regularly, weekly 

 

Reporting:

 

• Prepare monthly action plan, weekly and monthly activity report.

 

• work with the H and N coordinator to prepare monthly reports and submit it to Project Manager 

 

• Perform other assignment by line manager.

 

• Providing Monthly and Quarterly feedback to HFs and Medical Team.

 

Representation

  • Participate in the health coordination meetings at state level and represent CONCERN in technical meetings as needed.
  • Represent CONCERN in technical health missions conducted by stakeholders and UN agencies.

 

Other Duties:

  • Engage in emergency response as and when required by the organisation
  • Support implementation of other activities of BHA project as soon as the gap is identified by the manager and team.
  • Carry out additional responsibilities as assigned, including administrative and planning functions.

Any other tasks agreed with the Line Manager.

Perform any other duties as directed/ or requested by the line manager


 
 Minimum Qualification, Skills and Experience Required:

  1. Education

Diploma   in Pharmacy at least 2 years or BSC in Pharmacy with 1 year experience preferably with UN or INGOs.

  1.  Job related Experiences
  • Good knowledge and experience of Store-keeping techniques, and skills including basic administration and management.
  •  Good interpersonal and team working skills.
  •  Excellent computer skills on MS Word and Excel, specially, on database management.
