The HR assistant will report to the HR Officer and will be responsible for providing HR support to the IRC River Nile and Omdurman offices while coordinating with other field offices.

 

Main Purpose of Job: 

 

River Nile and Omdurman office currently has a total of four program sectors with over 10 full-time staff already on the ground. On top of this, over 120 incentive workers consisting of skilled and semi-skilled and skilled staff to Support health sector in North Omdurman. As a growing field location, recruitment is continuous for new positions and sometimes when staff leaves the organization. Recruitment alone is observed as a taking up a bigger percentage of the staff in HR department in the field meaning other HR functions gets affected in such situation. According to the field structure, one staff are planned to support in the function of HR but due to recruitment dynamics, based on this and noting the various things that need to be organized with urgency, the field management is opting to create a junior position of HR to support for12 months. 

 



 
 Duties and responsibilities:

  • Assist HR officer in HR filing and documentation:
  • Ensures the correct filing of all the HR files and recruitment documents.
  • Assist in managing and updating HR databases with different information such as: (Recruitment process/documentation, contracts management, Job Descriptions, disciplinary process/documentation, Leave/vacation management, days off and exit process).
  • Prepare, and store paperwork for HR policies and procedures.
  • Maintain schedule and coordinate calendar act.
  • Assis in tracking monthly variables (leaves and time sheets) submissions.
  • Provide assistance in terms of preparation to incentives worker payroll.
  • Updating HR database by putting new employee contact information and employment detail.
  • Assist HR officer in recruitment and selection.

  7. Assist in printing and filling of medical insurance documents.
  • Following the reimbursement documentation, review support documents.
  • Assist in tracking mandatory training certificates.
  • Note that this job description must remain flexible, to respond to additional tasks or changes as identified by the line manager.

 
 Minimum Qualification, Skills and Experience Required:

  • BCS in Human Resources, Administration, Development Studies, Social Sciences, or a similar field 2 years of work experience in HR department.
  • Experience working with NGO preferred.
  • Familiarity and experience with standard administrative functions in an INGO set up.
  • Basic understanding of payment processing and reconciliations within an INGO set up.
  • Ability to respond to multiple priorities in a timely manner, producing high-quality outcomes.
  • A positive thinker with strong leadership, motivational and team building skills.
  • Good collaborator and influencer with effective interpersonal and analytical skills who work seamlessly across cultures, organizational units and suppliers.
  • Able to work effectively in a highly matrixed structure.
