Protection Data Administrator

 Background:

The International Committee of the Red Cross (ICRC), an impartial, neutral and independent organization striving to protect and assist the victims of war and internal violence, has been working in Sudan since 1978. The ICRC is looking for an enthusiastic and motivated person to fill the position of Protection Data Administrator in Port-Sudan.

Purpose:

The Protection Data Administrator carries out processing and management of data, consisting mainly in data entries, collected through ICRC’s protection activities within the frame of the ICRC’s mandate deriving from international humanitarian law, using specialized case-management software (Prot6). He/she will handle different stages of information management. The job demands an exceptional eye for detail, self-motivation, and a great level of organization, as well as integration into the protection team.



 
 Duties and responsibilities:

  • Is the administrator for a IT department tool.
  • Ensures that there is a good quality data-management system by carrying out data controls.
  • Provides analytics on department activities for external reporting.
  • Updates the individual data according to the valid data entry procedures updated on regular basis.
  • Knows the definition of Documents "A" and prepares the documents for archives that are to be sent to PES_PROT_DATA, Geneva. Updates of the database are made accordingly.
  • Participates in the filing of the individual files and maintains all the information up to date. Transmits under supervision information correctly to the Offices / Sub-delegations / Delegations / National Societies
  • Makes sure that the files are ordered in the filing cabinets, that documents in the files range from the oldest to the newest and that unnecessary copies are systematically removed.
  • Can analyse the on-going follow up of any tracing case and to propose adjustments according to the procedures.
  • Ensures the circulation of information between the Offices / Sub-delegations / Delegations and the NS
  • Ensure that the follow up of a case and contacting the enquirer by the one/s responsible for a certain case is correctly and systematically done.
  • Attributes to each tracing case a deadline for feedback taking into account the priorities, the constraints that might be faced in the field, etc.
  • Identifies the individual cases for whom a reminder for follow up is to be sent.
  • Writes messages / memos for Offices / Sub-delegations / Delegations / National Societies
  • Compiles / summarizes information available in the physical file and transmits it with a message / memo whenever necessary.
  • Translates any tracing/protection documents (i.e., tracing requests, registration Form of Minors/Vulnerable, etc.) whenever necessary.
  • Follows up on all work-related messages and correspondence with the relevant contacts and departments through the service task management (STM).
  • Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position
  • Collects and shares information so as to improve the ICRC’s understanding of the environment and humanitarian trends and responses
  • Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image

 
 Minimum Qualification, Skills and Experience Required:

  • Previous experience with databases and data management (specialized software).
  • Information-management background.
  • Professional degree or equivalent experience. 
  • Excellent command of English. 
  • Excellent computer skills, including Microsoft Office Suite (knowledge of SQL or programming languages
