 Duties and responsibilities:

General responsibility:

The Grants Officer will collaborate closely with program staff, finance, and external stakeholders to facilitate successful grant outcomes. Strong organizational skills, attention to detail, and the ability to work effectively in a team are essential for this position.

The Grants & Reporting Officer will provide essential support to the Grants Manager in all aspects of reporting. This role involves assisting reporting processes, ensuring compliance with grant requirements, maintaining detailed records, and preparing comprehensive and timely reports for both internal and external stakeholders.

In the course of undertaking tasks, he/she represents TGH with professionalism, honesty and commitment.

Responsibilities and related tasks:

Reporting

  • Fill and ensure adherence to the reporting schedule: update the tool, ensure field deadlines are met, and facilitate communication between the field and the Coordination.
  • Propose, disseminate, and monitor the drafting timelines for all reports and project proposals.
  • Coordinate with relevant colleagues to gather data necessary for preparing reports and donor situation reports (sitreps), ensuring consistency and accuracy, particularly with the initial project proposal or previous reports.
  • Ensure reports comply with donor guidelines (structure, content, format).
  • Contribute to the drafting of narrative reports including photos, graphics, maps, and annexes, in close coordination with relevant project managers, Country Director, DCD-P, and headquarters (desk and technical units).
  • Ensure timely submission of monthly follow-up reports and ensure the accuracy and timeliness of the reporting.
  • Ensure the reporting and the filling of all internal follow-up tools
  • Under close supervision of the Grants Manager, she/he shares responsibility for adherence to internal deadlines and the content quality of all reports and sitreps.

Support internal coordination

  • Participate in regular internal coordination and program meetings when requested andprepare the minutes.
  • Support the Grants manager to coordinate with field teams, in order to maintain effective management of information flow between the field and the coordination, and with other teams within the mission.
  • Ensure archiving of operational documents (hard copy and digital) at the mission level, in coordination with the Grants Manager.
  • Facilitate the documentation and capitalization of programmatic documents within the mission.

 

Support external coordination

  • Support the Grants Manager to establish and maintain effective, dynamic relationships with the donor agencies and support the follow-up of funding opportunities for TGH Sudan, as delegated by the Country Director and Deputy Country Director-Programs.
  • Support Coordination colleagues in preparing documentation for annual HAC re-registration and state registrations as needed.
  • Support the partnership manager in the coordination with national NGO partners
  • Support in the drafting of project-related MoUs or technical agreements with official authorities.

 

Support grants development

As part of skill development, the candidate will progressively undertake the following tasks:

  • Assist the Grants Manager to prepare and assemble grant proposals, ensuring completeness and adherence to grant guidelines and deadlines.
  • Following Grants Manager requests, gather necessary information and supporting documents for grant applications.
  • Maintain comprehensive records of all grant activities, including proposals, reports, and correspondence.
  • Monitor grant progress and deadlines, providing regular updates to the Grants Manager and relevant stakeholders.
  • Support the Grants Manager in conducting grant-related meetings, training, and workshops as needed.

 

Personal & staff capacity-building:

  • Participate actively in trainings recommended by TGH, and share new skills and knowledge with colleagues and TGH partners.
  • Upon recruitment, develop a skills development plan with the support of the Grants Manager and participate actively in the training that will be provided following this plan.
  • Take a proactive stance to identify areas requiring development and tailor training as appropriate.

Any other tasks assigned by the line manager or technical supervisor based on TGH project implementation needs.


 
 Minimum Qualification, Skills and Experience Required:

Required knowledge and skills

  • Bachelor’s degree
  • Post Graduate diploma is a relevant field that will be an asset
  • At least 2 years of professional experience in related fields with national or international NGOs and at least one experience with INGOs
  • Previous experience in the humanitarian sector is required
  • Demonstrated knowledge of grant management processes and best practices
  • Strong computer skills; good understanding of Microsoft office pack
  • Fluent English and Arabic (written and verbal)
  • Strong report-writing skills in English and Arabic
  • Strong knowledge of Sudanese context, at national and state level (Darfur and eastern Sudan states) Previous experience working on projects funded by ECHO, BHA, OCHA and/or French goverment donors is highly desirable
  • Excellent program management and planning skills
  • Excellent communication and reporting skills
