 Background:

Defining, coordinating, and monitoring all pharmacy related activities for Medical Teams International Sudan in order to ensure the quality and proper organisation of medical supply chain process, procedures and protocols and the proper management of the medical stock, in line with Global Medicine Management Manual in order to support programme delivery. The post will manage (directly or indirectly) project pharmacists and work closely with Logistics Specialist, Health Advisors and project managers.



 
 Duties and responsibilities:

JOB RESPONSIBILITIES 

• Supporting and participating in all medical supply processes and ensuring its overall efficiency and effectiveness. This involves regular technical visits to project sites, collecting and analyzing stock indicators according to physical records across different projects and together with the Medical Coordinators. Project Managers and Pharmacists take corrective decisions when necessary.

• Ensuring the collection of data for monitoring and surveillance of optimal quantity & quality of medicine use. 

• Supporting the Programs & Operations departments in representing Medical Teams at Ministry of Health (MoH), National Medicines and Poison Board, and other local authorities or local suppliers for any issue concerning pharmaceutical supply.

• Review all centralized orders of medicines and ensure that they are based on consumption data and current needs.

• In liaison with the Logistics Specialist take part in the development of the operational planning, providing the pharmacy and warehouse aspects on the end of project issues 

• Ensures correct receipt of goods (adequate checking of deliveries of goods for quality and quantity ensuring correct recording of details on relevant/appropriate forms. (GRNs, Waybill or Delivery Note)

• Ensure that all goods are stored and packed safely and securely.

• Ensure that particular attention is given to cold chain storage procedures, to ensure that pharmaceuticals donated and/or purchased are stored in an adequate locked and temperature-controlled environment.

• Ensure correct and accurate recording of the stock levels on bin cards.

• Analyze the reconciled monthly stock reports. These should focus on short-dated supplies (expiry dates of the supplies), stock-levels and out-of-stock status so as to inform proper decision-making.

• In close collaboration with Health Advisor, Medical Coordinators, Warehouse Assistants, ensure all essential medicines are available in the right quantity and condition.

• Coordinate inter-regional movement of stock to fix gaps in shortages, push short-dated commodities and minimize expiry of existing stock.

• Coordinate the approved donation of supplies to MoH-supported facilities. 

• Review pharmacy reports from the Field locations to ensure that they are accurate and ensure timely submission to the Logistics Manager, Health Advisor and the donors.

• Work with Logistics Specialist and Health Advisor on development and roll out of training for Pharmacists, project staff and dispensers at the facility level on drug families, usage and recommendations for storage in line with GMMM.

• Compile medicine requirements for emergency and outbreak response.

• Review and update medical product items list and codes for Unit4 with Health Advisor whenever requested.

• Carry out regular support supervision and pharmacy audit to identify the gaps and design strategies to fix the gaps. Support supervision should focus on aspects such as Rational Medicine Use, Medicine Consumption Review and Good Pharmacy Practice with Health Advisor and in line with the GMMM. 

• Coordinate the management and disposal of expired medical products in accordance with NMPB guidelines.

• In collaboration with the Programs Department, participate in the development, review and implementation of the MoH and Global Medicines Management Manual (SOPs) in line with the national standard treatment guidelines.

• Ensure safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies. 

• Perform other duties as assigned by Medical Teams management.

 


 
 Minimum Qualification, Skills and Experience Required:

EDUCATION, LICENSES, & CERTIFICATIONS 
• Bachelor's degree in pharmacy is required
• Registration with the pharmacy board is required
• Valid certificate of practice (COP)

EXPERIENCE 
• Minimum 4-5 years of experience as pharmacy Manager.
• 3 years of experience in the same position as Pharmacy Coordinator or Manager level with INGOS or UN

• Knowledge of working with MoH and NMPB would be a benefit

KNOWLEDGE, SKILLS & ABILITIES 

KNOWLEDGE
• In-depth technical knowledge of pharmacy including purchasing, dispensing and aseptic manipulations
• In-depth knowledge of pharmacy policies and procedures, including safe and secure handling of medicine
• Knowledge of computerized pharmacy systems, or ERP systems
• Knowledge with NGOs and or UN organisations

SKILLS
• Skilled in aseptic dispensing
• Skilled in managing stock levels and forecasting needs to avoid stock outs whenever possible
• Skilled in using appropriate database systems (ERP, HIS, HRIS)
• Skilled in developing and conducting trainings for health facility staff
• Skilled in record keeping with high attention to detail

ABILITIES
• Ability to work collaboratively with others as a member of a team 
• Ability to maintain confidentiality of patient information and adhere to professional code of conduct 
• Ability to support MTI Calling and adhere to the MTI Code of Conduct 


PHYSICAL CONDITIONS 
This position requires work at health facilities located in remote areas with very basic living conditions.
