The position is responsible for coordinating P&C Administration for all national staff, Assisting in National recruitment, overall Employee relations duties, business partnering with managers and coordinating the staff care management in line with WV Sudan People & Culture policies and Partnership standards*

Staff Orientation


  1. Timely rolling of performance cycle (SMART objective setting, mid-year review and end-of-the-year review)
  2. Follow up on all departments for the timely submission of staff performance appraisal.
  3. In conjunction with the P&CD perform a training needs analysis for the office after observing performance trends at the office level and making recommendations on training to be implemented.
  4. Comply with regional requirements in terms of T&D, Talent Management, and Our voice survey.
  5. Ensure that all new joiners receive the orientation handbook and schedule before they arrive.
  6. Follow up and file all completed orientation.
  7. Finalization of Individual Development plan in coordination with line manager
  8. Performance reports, calibration and management of poor performer
  9. Coordinating with line managers key staff successor plans




Recruitment & Selection 


  1. Receive requests to recruit from the Departments ensure there is a job description for each request.
  2. Liaise with the P&C Director to produce job adverts after ensuring proper authorization of all the documentation.
  3. Liaise with respective ministry/ies, HAC, and other local authorities on recruitments and other related issues for Secondees candidates.
  4. Participate in shortlists with the help of the Supervisors of the various departments/projects(HAC authorities included where external candidates are concerned)
  5. Schedule interviews, invite interviewees and inform panellists well in time.
  6. Attend all interviews for all non-managerial level grades and produce standard minutes for a job interview.
  7. Ensure that all the necessary steps are taken to facilitate the recruitment of competent and diverse staff for the program.




Contract Management 


  1. Drawing up contract amendments, ensuring prior approval of the relevant program heads of department/sector. 
  2. Ensuring that files of all existing staff contain current contracts and that the Incentive indicated in the staff files tallies with the approved incentive scheme as well as what is indicated in their payment/ payroll.
  3. Documenting any amendment in staff contract such as transfer to another department ensuring that all processes are approved and kept in the staff file.
  4. Inform sector managers in writing, two months in advance of contracts coming to an end
  5. For non-renewal in liaison with the P&C D seek approval of the labour office for separation of those whose contracts shall not be renewed.

  • Conduct orientation/training of WV People & Culture policies and procedures to staff.
  • Advise Line Managers on employment procedures, processes and Sudan labour legislation.
  • Ensure Line Managers and staff comply with WV Sudan policies and procedures.

Reports generation and analysis

  • Ensure that self has development plan and follow best practices as per regional standards.
  • generate all sorts of related analyses and reports.
  • perform any other ad hoc related duties as assigned by superior or P&CD.

 Minimum Qualification, Skills and Experience Required:

  • A university degree in Human Resources, Management/ Social Science
  • Minimum 2 years’ experience in HR in NGO, and other business sectors.
  • Demonstrates well-developed interpersonal skills, excellent communication skills, both verbal and written.
  • Very good organizational and coordination skills.
  • Very good customer service skills and problem-solving skills.
  • Excellent attention to detail with good analytical skills.
  • Ability to work in a multicultural environment and promote team cohesion.
  • Thorough knowledge of office systems, including computer applications in Microsoft Office. 

         Work environment:

  •  Office-based with some non-frequent travel to the field/other offices.
