 Duties and responsibilities:

ESSENTIAL RESPONSIBILITIES AND DUTIES

Security & Liaison Tasks

  • On a daily basis monitor, verify and analyze the evolving security situation in Port Sudan from sources including NNGOs/INGOs, UN Agencies and personal networks and, when relevant and important, relay this information in written and/or spoken form to the Area Manager, Country Safety and Access Director, and relevant RI staff members and management.
  • Act as the local security focal point (SFP) for safety coordination and information sharing with the relevant national actors.
  • Responsible for aspects related to communication equipment (e.g. Sat Phones, VHF, HF) and provide input to Area Manager and Safety and Access Director for budgeting of the items in the country security budget.
  • Supervision of local guard force deployed at RI offices in Port Sudan operational and program sites and do capacity building of local guard force on Bi-Weekly bases. Work with Area manager  and Safety and Access Director to build local syllabus for guard force capacity building.
  • Develop and promote communication lines with staff at all levels including detailed situational briefings.
  • Conduct induction training for new staff in addition to periodic refresher training for all staff including drivers.
  • Participate in detailed program access planning, developing positive relationships at community level.
  • Plan and monitor staff movements with pre travel briefings and debriefings.
  • Ensure the program maintains operational effectiveness with key documentation updated emergency stocks. 
  • Responsibilities and duties related to office safety. Shall undertake tasks aimed to maximize the safety of RI premises in Port Sudan area and field offices.
  • To keep all department and location leads updated about any arising situation, which has bearing on staff safety, RI assets and to seek support and guidance for appropriate timely measures. In addition, keep Area Manager and Safety and Access Director, updated on the overall prevailing safety situation on regular basis.
  • Prepare staff movement list and send to Area Manager, Safety and Access Director on weekly basis.
  • Conduct road, area assessments where RI has operations.
  • Coordination with HAC, SMOH, Labor Department to process/obtain permits, and other legal documents.
  • Ensure all RI agreements/MoUs with the government partners are signed and documented on time.
  • Ensure all permits from the government are issued beforehand, this is but not limited to travel permit, Airport and Port access permits, permit for visiting new area/assessments and workshop training//workshop permit.

 

Administrative Tasks

  • Maintain all files related to logistics, including filing regarding inventory control, transportation management, vehicle management, procurement, communications, travel, etc. 
  • Ensure the office and guesthouse are kept clean and consumables are tracked and stocked.
  • Mange the Internet and telephone Allowance payments.
  • Supervise the cleaner and cook in the office and guesthouse
  • Provide oversight and support to Support staff for the Hotel bookings and arrangements for staff and visitors.
  • File all lease agreements, rental service contracts and prepare the lease schedule on a monthly basis
  • Responsible for arranging all internal travel for RI staff and visitors and WFP/Commercial flight bookings.
  • Make sure the office and guesthouse utilities are well managed and properly maintained.
  • Ensure smooth running of Port Sudan office and guesthouse. Up to date leasing and payments are completed on all running costs for the offices and guest house.
  • Order, distribute, and keep accountability of stock including office supplies
  • Assist Admin/Finance personnel to maintain accounting records relating to procurement 
  • Order, distribute, and keep accountability of all office supplies including, but not limited to, computer disks, calculators, pens, paper, etc.
  • Organize all RI files related to logistics and keep them updated as directed 

Management of staff movement using boards accessible by all, ensuring that information is accurate and regularly updated, changes timely communicated to the affected staff


 
 Minimum Qualification, Skills and Experience Required:

 

Qualifications and Experience:

 

  • Preferred Bachelor’s Degree in Military Studies, Political Science, Public Administration, Social Science, Security Management or a related field from an accredited academic institutions.
  • Minimum of three (3) years of applicable technical and professional experience. An appropriate combination of education and work experience may fulfill these requirements. NGO experience will be preferable. Previous experience in UN/INGO is preferred;
  • Ability to work independently, to be able to accept and discharge substantial responsibilities, to prioritize work assignments, to meet deadlines, and to exercise professional judgment.
  • Excellent interpersonal and communication skills, problem-solving and training abilities
  • Proficient in English and Arabic languages.
  • Computer literate with good excel knowledge and security Report writing.
  • Working knowledge of public safety, security operations, and procedures.
  • Outstanding surveillance and observation skills.
  • Human Relation skills, including integrity and ability to work with minimum supervision and under pressure preferred.
