 Duties and responsibilities:

Position Responsibilities and Duties:- 

 

Grants Management: 

  • Contribute towards the sign-off processes of new grants and modifications as per RI procedures, ensuring that all internal RI processes are respected and regional signoffs secured timely, sending to AMU to facilitate review and signature as per authority matrix. 
  • Monitor and support the use of grant/project management tools to ensure accurate tracking of opportunities, reporting and programmatic adjustments through the project life cycle. 
  • Contribute proactively to Project Cycle Meetings in collaboration with relevant project leads to ensure timely, quality implementation of project by taking and distributing detailed notes as required. 
  • With support from the Grants and Compliance Coordinator, act as custodian of documentation of institutional knowledge and program activities in coordination with relevant Program Manager, MEAL and HR and Finance units. 
  • Contribute towards maintaining comprehensive electronic files for programs, and ensure RI teams and have access to relevant records and information. 
  • Award Matrix and ensure all relevant information are captured and accurate. 
  • Work closely with the Grants and Compliance Coordinator to have an updated grants tracker. 

 

Compliance 

  • Maintain up to date comprehensive knowledge of donor guidelines relevant to the Sudan portfolio, including but not limited to: BHA, ECHO, UNOCHA (SHF), WFP, EU-AICS. 
  • Provide close support to RI staff on compliance and donor-specific compliance requirements. 
  • Contribute in closely grants monitoring for internal or donor compliance issues, and flag concerns in a timely manner. 

 

Reporting 

  • With input from the program and support teams, actively support the development of high-quality program progress reports as per donors and RI requirements. 
  • Lead the preparation, quality assurance and compliance of recurrent in-country donor reports. 
  • Act as reporting focal point for organizing timely reviews and approvals of narrative/progress reports and related reporting deliverables for managed awards with relevant country and regional teams as needed. 
  • Contribute to reporting preparation and provide hands-on support in anticipation of major reports, including template development and adjustment when relevant in coordination with the Grants Manager and Regional Support Office, RSO. 
  • Support the Grants and Compliance Coordinator in the critical review of project progress and implementation reports, ensuring tracking against proposal targets/donor commitments through reporting preparation and reviews, participation in grant review meetings. 
  • Ensure monthly reports (internal) from all departments (Program, Operation, Finance, HR, and Field team) are received, consolidated and reviewed by Grants unit before sharing with SMT. 
  • Ensure update and circulation of trackers and planning tools framing consolidation and submission timelines.   
  • Maintain a proper filling of submitted donor and internal reports as per RI information management systems. 

 

Partnerships 

  • Work with relevant program and field team to ensure all implementing partners undergo legal vetting, due diligence and capacity assessment prior to commencing work with Relief International. 
  • Work with program and field team to ensure relevant donor requirements are effectively communicated and understood by implementing partners. 
  • Roll out sub-grant agreements and contracts clauses with Partners to ensure that they fulfil donors/legal requirements with subsequent financial monitoring. 
  • Keep track of payment instalments and reporting schedules made to partners and ensured all required reports are received before disbursing the funds. 
  • Support RI’s role in the delivery of capacity strengthening plans for partners and track and document partners’ lesson learned from finalized sub awards. 

 

Others 

  • Support RI’s role in the delivery of staff capacity strengthening plans on donor compliance and communication aspects. 
  • Contribute towards RI Sudan communication and visibility plans and initiatives. 
  • Perform other duties and responsibilities as assigned to ensure that goals and objectives of projects are met and support RI program implementation. 

 
 Minimum Qualification, Skills and Experience Required:

Qualifications :-

  • University Degree (Masters preferred) International Development, communications, journalism, social sciences, International Business or accounting or related field in alignment with the relief and development sectors. Master’s in English will be an added advantage. 
  • A minimum of 2 years of progressive experience in program management or financial management, related experience in emergency humanitarian organizations, including field experience.
  • Knowledge of rules and regulations of major institutional donors such as ECHO, US Government donors (e.g., BHA, USAID), familiarity with UN agencies funding mechanisms and contractual modalities is a plus but not a strict requirement. 
  • Excellent English writer, with at least 4 years of experience in report writing and/ or Proofreading & Copy-editing. 
  • Excellent verbal and written communication skills in English. 
  • An overall ability to be clear and concise in all communications and build internal and external relationships 
  • Strong organizational and time-management skills; proven ability to prioritize and deliver on time 
  • Ability to work both independently and in a dynamic, cross-functional global team structure 
  • Highly proficient in Microsoft Office suite, especially Excel 
  • Demonstrated ability to work effectively with stakeholders 
  • Ability to manage and fast-paced coordination of work in a positive manner.
