Senior Finance Officer

 Grade Level: E0 to E5, monthly gross salary ranges from 792USD to 1014 USD based on experience
 Supervisor: Finance Coordinator
 No. of Post: 1
 Duty Station: 80% Port Sudan and 20 Field Travel
 Duration: 24 months
 Closing Date: 31 May 2024

 
 Background:

The Senior Finance Officer will enable the smooth operation of the finance activities, maintains records, support the Finance Coordinator in overall management of financial resources, monitoring and financial controls. S/he will ensure that the Concern Worldwide financial policies and procedures are implemented in a standardized manner and in true spirit.  



 
 Duties and responsibilities:

Book keeping and Financial Reporting

  • Acting as main point of contact between bank and Concern
  • Updating bank books on daily basis
  • Payment to suppliers, review the payments to ensure complete and accurate
  • Arrange bank transfers to field offices
  • Providing floats to staff and ensuring floats are cleared on timely basis
  • Submitting month end bank books and reconciliations in agreement with country timetable
  • Preparing bank reconciliations on monthly basis for Port Sudan accounts
  • Ensure bank balances maintained at correct level
  • Maintaining cheque log sheet for cancelled, stale and void cheques
  • Recording of bank charges on timely basis
  • Preparing notification to the bank of all new signatories when new staff join and removing signatories when staff leave
  • Maintaining a file of correspondence with the bank
  • Preparing all year end bank returns for submission to head office in Dublin

Cash and Bank book review for field monthly books

  • Under supervision of Finance Coordinator, follow up with the field finance officers for submission of their monthly cash and bank books by the 5th of every month.
  • Carry out monthly reconciliations on all cashbooks and bank accounts by the 5th of the next month
  • Keep track of all cash and bank books from the field and ensure they are filed by the finance assistant
  • Review of field cash/bank books and scans of documents. 
  • Review of field box files/ physical voucher
  • Review of all PRF submitted to finance for payment
  • creating CSV files of cash/bank books and journals

 

Maintaining Financial Records

  • Maintaining and updating on a timely basis neat and tidy files (hard and soft) for all cash and bank payments, correspondence, and all other tasks covered by the Finance officer
  • Keeping track/list of previous years finance files for audit trail
  • Organising all documents that come in from field sites for Port Sudan payment, organizing and reviewing of field payments, overseeing scanning of these documents to finance sharepoint in timely and accurate manner

Other Duties

  • Assisting the CFC during the internal/external/donor audit. Following instructions from CFC/PPA to facilitate audit work
  • Working closely with field offices, system and program team on monthly and annual accruals
  • working as member of Purchase committee if required
  • Cover other colleagues role during their leave/absence for a  short time as assigned by CFC/Finance Coordinator
  • Any other finance duties as required by the Finance Coordinator/CFC

 Minimum Qualification, Skills and Experience Required:

  1. University degree or diploma in accounting
  2. Minimum of two years of related work experience
  3. Fluent written and spoken Arabic and English and working experience in an INGO or UN preferable
  4. A good understanding of financial control systems
  5. Commitment to working in a team
  6. Willing to travel to field offices ( Kordofan /West Darfur)
  7. High level computer literacy (MS Word, Excel)
  8. High level of discretion is required due to the confidential nature of some parts of the finance function.
  9. CMA Certification will be an added advantage
