Under the direct supervision of the Logistics Supervisor/Logistics Manager, the Logistics Officer supports the Supervision of Logistics Assistants, drivers, security guards, and daily workers. Manage and support activities of the office and guesthouse through the logistics support staff, including generator and compound repairs and maintenance (if any); base power management – including best practices for protecting electrical equipment, and provide the needed support to all staff at Karrari Sub Base.
Duties and responsibilities:
EQUIPMENT
Dispatch the equipment at the base according to the needs, and update the equipment list accordingly
Ensure that the assets are properly maintained and maintenance intervals and procedures are respected
Monitor and facilitate repair orders
Inform his/her direct supervisor in the event of an incapacity to carry out the work requested which requires the intervention of a daily worker or specialized technician
Ensure the equipment and machines used by teams are cleaned and kept in good condition.
Records all Base equipment in the PUI Equipment/Asset follow-up sheet
Ensures that all allocated equipment is duly recorded in the staff asset form
Follow up the maintenance of all equipment according to the planning and PUI procedures
Ensure the correct use of all equipment and provide training to PUI staff or contractors if necessary
Communicate equipment needs and damages to the Logistics Manager.
2. PROCUREMENT
Will be responsible for processing the procurement requests according to PUI guidelines
Will assist the Field Coordinator and Head of Base in the preparation of procurement plans
Will assist in the identification of different markets, and also to help in a market survey of gathering prices for different items.
Will make sure to update the PUI bidders’ list for Geneina Base after the pre-qualification process.
3. FLEET
Ensure that the administrative documents for all base vehicles are available, filed, and monitored
Help in organizing the schedule of vehicle movements with the program teams
Ensure completing the required information and signatories for the PUI Vehicle Log Book
Ensure report all car incidents and prepare the reports
4. ENSURING THE MOVEMENT MANAGEMENT
Assist in updating the movement board daily
Receives weekly movement plans for the week from all teams
Make sure there is proper management and planning of vehicle movements
5. IT/COMMUNICATION
Follow-up and update communication credit for Geneina Base.
Communicates maintenance needs of all IT equipment (computers, printers, etc.) and proposes solutions to the Logistics Manager
Assist workers or specialized technicians if needed
Follow up the quality service provision for internet and equipment maintenance
6. DOCUMENTATION AND REPORTING
Give weekly report to the Logistics Manager about the progress of the logistics activities
Archive and centralize logistics files related to his domain
Prepare the required files needed for the monthly Logistics Report or Audits

Minimum Qualification, Skills and Experience Required:
Mandatory requirements
Language skills: Strong command of writing and editing documents in English and Arabic.
Education degree: At least a Bachelor's degree in Logistics, Business Administration, Social Science or related fields. Postgraduate or Master's degree desirable.
Work experience: At least 2 years of work experience in INGOs is preferable.
