SAFETY AND ADMINISTARTION COORDINATOR

 Liaises with: Internal: All staff, Field security Focal Points External: Network of external LM International stakeholders relevant for safety and Administration, including UN Agencies, other NGOs & INGOs, military, police, and local leaders HAC and Labour office.
 salary range: 1,109 USD - 1,624 USD

 Background:

The position holder is expected to take a leading role and to participate in forming the country safety, security and Administration policies, best practices and promote a culture of consciousness, awareness and accountability for staff and properties’ safety and security.



 
 Duties and responsibilities:

Security:

  • Initiate/develop, Review, implement and update all security plans and measures at LM International Field Offices and Guesthouses.
  • conduct a comprehensive safety assessment for LM International's operations in all locations in Sudan.
  • Identify potential safety and security risks and vulnerabilities faced by staff members.
  • Develop crisis management protocols and procedures. These protocols shall include guidelines for responding to emergencies, communication strategies, and evacuation plans.
  • Design a monitoring and reporting system to track staff safety incidents. In case of any safety-related concerns or emergencies, the system shall facilitate prompt notifications to designated LM International personnel and follow predefined communication protocols.
  • Develop, review and disseminate to staff security management documents including the Security Management Plan; Ensure relevant measures are taken to safeguard LM staff, assets and properties
  • Liaise with security staff of INGos in Sudan, within the field of security.
  • Monitor and ensure staff compliance with LM International Specific Security Instructions, Travel Instructions, and relevant SOPs .
  • Conduct regular staff briefings and provide staff training as required relating to security procedures, including LM International Specific Security Instructions, Travel Instructions, and key emergency procedures.
  • Provide as required regular security briefings to staff in consultation and close coordination with the Managment.
  • Design and conduct specific competency development activities for security guards to ensure that security guards understand and are capable of performing specific required security tasks.
  • Brief visitors on security matters within 24 hours of arrival.

Health & Safety:

 

  • Ensuring the office has a fully stocked and in-date first aid kit
  • Track usage of items from the first aid kit
  • Keeping firefighting procedures up to date
  • Ensuring that first extinguishers are serviced and refilled on a rotational basis
  • Holding regular fire drills

 

Administration

 

  • Develop, review, dissemination and implementation of Administration policies and procedures.
  • Managing leases – negotiating on renewal, renewal in advance of expiry,Meeting landlords to solve recurring problems.
  • Maintain a contract tracker for all leases for LM International Sudan offices, Guesthouses and warehouses. 
  • Managing the set-up and exiting of new properties, including inventory management with landlords.
  • Management of office and Guest houses for staff; and ensure that supplies are always available in office and Guest house.
  • Maintained inventory database for office and guest houses; Carry out monthly stock count for administration mini-stores.
  • Ensuring that the office is kept clean and tidy
  • Scheduling repairs and maintenance for property, with engagement with landlords when necessary.
  • Manage telephone lines for staff. 
  • Direct and implement space planning and make recommendations for office and workplace assignments.  
  • Preparation of the Sudan office administration budgets and expenditures.
  • Issuing Letters of Invitations for visitors 
  • Ensuring that hotel accommodation is booked and airport pick-up and drop-off scheduled.
  • Supporting staff in processing visas for neighboring countries 
  • In-country flight bookings through UNHAS or commercial airlines depending on the location
  • Maintain flight travel board for national and international staff
  • A focal point for international and National training and workshops, with responsibility for accommodation and facilities bookings, airport pick-up and drop-off, letters of invitation for attendees, and stationery supplies.
  • Updating the weekly Staff Movements for Sudan staff.
  • Perform and other duties as assigned by Management.

 
 Minimum Qualification, Skills and Experience Required:

Essential

  • Degree in Business Administration or other related discipline.
  • At least three (3) years working experience in safety and Administration with at least two years of experience with an international NGO .
  • Excellent interpersonal and communication skills. 
  • Confidential, integrity and ability to handle sensitive situations
  • Excellent writing and oral skills in English and Arabic
  • Proficiency in computer applications
  • Prioritises, reviews priorities and manages multiple priorities to strict deadlines
  • Ability to identify potential problems and recommend solutions.
  • Willingness to undertake regular field visits and interact with different stakeholders, especially primary stakeholders
