 Background:

1. Responsibilities and related tasks

Under the responsibility of the Logistics Coordinator, the logistics manager ensures the good functioning of the logistics activities of the base.



 
 Duties and responsibilities:

  1. Procurement Management
  • Oversee each stage of the procurement procedures, ensuring meticulous adherence to the purchase cycle and compliance with TGH Logistics Procedures.
  • Collaborate with internal stakeholders to understand and fulfill procurement requirements.
  • Lead the procurement team in sourcing, negotiating contracts, and selecting suppliers.
  • Manage supplier relationships, conduct performance evaluations, and secure favorable terms.
  • Ensure compliance with procurement policies, ethical standards, and relevant regulations.

  1. Stock Management:
  • Follow up the stocks of all goods and materials and check the inventories.
  • Ensure the Monthly report on time 
  • Ensure the Inventory report send to the logistics coordinator on time
  • Maintain and update the state parks monthly
  • Make physical check to the assets and report them to logistics coordinator
  • Supervise the loading / offloading of goods and materials
  • Follow up the trucks and report their destinations
  • Supervise and update the stock cards, Bin Cards, release order
  • Ensure the safeguard to all the materials in the store and ware house
  • Ensure the fuel ordered and stored in proper place      

à Related tasks

  • Make physical check to the warehouse.
  • Follow the assets and the proper tools and follow the movements for repairs.
  • Assess the storage area and suggest changes if need. 
  • Check that materials and goods are properly stocked.
  • Collect information and follow assets.

 

  1. Supervise Vehicle and Maintenance 
  • Supervise the state of TGH vehicles, including managing their insurance and registration, and ensure timely implementation of preventive maintenance measures.
  • Provide separate file for legal document of the vehicle, 
  • Ensure the log book, fuel, maintenance of vehicle is in the place
  • Ensure the generators and electricity is well working

 

  1. Communication  
  • Make sure the functioning of the Internet, V-sat and communication devices are well working and maintained in good condition. 
  • Maintain the VHF, HVF and Thuraya equipment and keep them in safe place with record.

 

5-Asset Management 

-Oversee the tracking, maintenance, and utilization of organizational assets.

-Ensure compliance with relevant regulations and standards related to asset management.

 

6-Transportation Management

-Supervise and manage the transportation and distribution of goods.

-Ensure the preparation of comprehensive packing lists, waybills (WB), and other required documents to facilitate smooth transportation.

-Track and trace shipments, providing real-time information on the movement of goods.

 

7-Staff management 

  • Lead and manage the logistics team under their supervision, providing guidance and mentorship.
  • Allocate tasks, set performance expectations, and conduct performance evaluations.
  • Recommend training programs to the Logistics Coordinator aimed at improving the skills and capabilities of the team.

 

8-Reporting

1-Oversee the preparation and maintenance of accurate records for procurement, logistics, asset management, transportation, and staff management transactions.

2-Ensure timely and accurate reporting to senior management

 

9-Follow training plans and logistics staff appraisal

  • Train the local staff on all logistics or management aspects.

à Related tasks

  • Insure that training planning are on process and that each logistics staff is on progress.

Any other tasks may be required for the running of the base and the projects.

 

10-Capacity-building

  • Participate actively in the training courses recommended by TGH, and share new skills and knowledge with his/ her team or colleagues
  • Take a proactive stance to identify areas requiring development and tailor training as appropriate.
  • Through supervision and training, enable TGH staff to take on greater role in the the performance of their tasks throughout the programme
  • Ensure that capacity-building activities are implemented properly at field level
  • Co-operate in the supervision of partner organizations according to TGH partnership agreements

 
 Minimum Qualification, Skills and Experience Required:

2. Required knowledge, skills, and personal features:

 

  1. Bsc degree 
  2. Good knowledge and experiences in logistics (3 years)
  3. Good Project and team management skills (1 year)
  4. Knowledge in mechanic, electricity appreciated. 
  5. In-depth knowledge of procurement, logistics, asset management, transportation, and staff management processes.
  6. Familiarity with relevant software and technology in the field.
  7. Excellent computer skills (Excel, Word, Outlook, Internet)
  8. Excellent spoken and Written English and Arabic
  9. Pro-activity
  10. Aptitude to work in insecure environment
  11. Previous experience of work in NGO highly appreciated
  12. Bachelor degree is required, Masters appreciated.
  13. Engineer profile highly appreciated
