 Background:

The International Committee of the Red Cross (ICRC), an impartial, neutral, and independent organization striving to protect and assist the victims of war and internal violence, has been working in Sudan since 1978. The ICRC is looking for an enthusiastic and motivated person to fill the position of Protection Administrative Assistant 1 in Kassala.

 

Purpose: 

Administrative Assistant 1 provides secretarial and/or administrative support to the Protection Department of the ICRC to ensure the smooth running of activities. 



 
 Duties and responsibilities:

  • Contributes to dispatching messages from the Restoring Family Links (RFL) message database. 
  • Opens and prepares tracing mail (bordereau) to/from different ICRC sub-delegations and ICRC offices abroad weekly.
  • Follows the administrative and financial tasks related to Protection activities including Forensic, RFL, and Detention programs (clearances, SIM payments).
  • Follows with the Logistics department on the supply and delivery of materials related to Protection activities.
  • Supports Protection colleagues in the organization of events, round tables, and trainings. Prepares for meetings by setting up rooms and materials, including technical set-up for conference calls, presentations, and video conferences.
  • Translate/interpret simple text/meetings for the Protection Coordination team. May interpret for the Deputies on simple phone calls (English/Arabic).
  • Helps prepare missions from regional visits and the briefing/debriefing of Protection staff incoming/leaving.
  • Helps prepare letters and dispatch them.
  • Creates and maintains paper or electronic files up to date. Supports the update of the Protection team space.
  • Updates the timeline, tables and charts, schedule, and other tools and ensures invoices are followed up on.
  • Carries out secretarial tasks such as making photocopies, destroying documents, and managing stationary stocks.
  • Supports in liaising with the Communication department regarding the supply of materials for Protection teams. 
  • Applies information-management instructions and ensures compliance with procedures.
  • May be called upon to manage petty cash as per ICRC accounting/safety procedures.
  • Supports in responding to inquiries at the ICRC Hotline when needed. 

 
 Minimum Qualification, Skills and Experience Required:

  • Bachelor’s degree or equivalent higher education degree in business administration, finance, management, or economics. 
  • Previous experience in administration, office, or service management, or in a field related to the work of the department or in a secretarial position an asset.
  • Previous experience in Data Entry and Translating from Arabic to English and vice versa.
  • Fluent with a wide knowledge of English and Arabic, Knowledge of Tigrinya is an asset.
  • Computer skills, including Microsoft Office suite, SharePoint, and IBM Lotus Notes.
  • Skilled in the following competencies: Communication (written & verbal), Negotiation, Representing the ICRC; Planning, Organization & Assessment; Responsibility & Autonomy.
