ROLE PURPOSE 

DIMENSIONS OF THE ROLE 

THIS position in the finance department report to Country Accountant. He/she responsible for a wide variety of finance-related tasks that are primarily associated with preparing financial records. These tasks oftentimes include organizing and maintaining financial records, and ensuring statements are accurate. He/ she work in collaboration with finance staff, other Departments and implementing partners. 

 



 
 Duties and responsibilities:

ACCOUNTABILITIES 

  1. Processes payment vouchers and journal vouchers through SAP and in accordance with the Finance operational manual  
  2. Maintains and updates the Advance Register and reports on outstanding advances to the partners on monthly basis 
  3. Maintain accurate accruals, payables and prepayments schedules and ensure timely allocation of costs to project. 
  4. Participate in partner assessments and assess conformity with Plan systems 
  5. Conduct petty cash counts and spot checks at least once per month 
  6. Continuous monitoring of internal control processes and procedures. Ensure adherence to financial controls, processes and procedures 
  7. Daily Management of cash and to that Ensure follow-up of cash advances on a weekly basis in collaboration with different departments 
  8. Ensure timely payment of invoices according to Organization financial policies and Internal Financial Control 
  9. To ensure that entering financial data in SAP system and to Provide assistant Grants Budget Monitoring 
  10. Ensures that the Office bank accounts has always sufficient balance to undertake its business without excess liquidity 
  11. Account for all cash transfers made on behalf of the Program areas and ensure accuracy and prompt acknowledgement of funds received through Bank slip entries in SAP system 
  12. Ensure that previous advance to staff, suppliers, partner’s, contractors or landlords, was fully liquidated prior to preparation of another cheque. 
  13. prepare monthly Bank & Receipts Reconciliations for all Plan Bank Accounts.

 Minimum Qualification, Skills and Experience Required:

TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE 

  • Bachelor’s degree in Finance and Accounting 
  • At least 3 years of experience in accounting and finance  
  • Demonstrate intermediate to advanced skills and knowledge of Excel, as well as other Microsoft Office applications 
  • Experience with accounting software, preferable in SAP system 
  • Excellent interpersonal skills to communicate effectively across the organization 
  • Thorough knowledge of general ledger accounting and account reconciliation
