The Federal Ministry of Health (FMOH) in the Republic of Sudan is implementing a strong Health System Strengthening programme through one of its Directorate Generals, particularly the Directorate General of International Health (DGIH) under which is placed the Program Management Unit (PMU) for GAVI grants. The DGIH is responsible for coordinating with donors, government, and non-government agencies in their contribution for developing the national HSS strategy as well as related operational plans. It is also responsible of resource mobilization, implementation, and monitoring and evaluation of all grants funded by Gavi.

Currently, the PMU is responsible of managing the New Funding Mechanism of the HSS programs in the frame of the new HSS3 grant. 

FMoH/DGIH through Qurtoba is looking for competent employees to work at its Program Management Unit to ensure smooth implementation of GAVI grants. 

The whole recruitment process will be managed by Qurtoba HR services , established in Sudan.

The Office Assistant performs organizational and specific administrative tasks for the PMU Manager. His/Her role may include scheduling and organizing PMU Managerís files, scheduling appointments, writing and proofreading and sending emails.

 Duties and responsibilities:

Under the supervision of the PMU Manager, he/she is responsible for : 

  • Answer calls and forward callers to the right place
  • Design and maintain PMU Manager office filing systems  
  • Employee support for optimizing office organization and processes ;
  • Timely sorting and distribution of official communications  
  • To ensure the accuracy and validity of information, creating and updating records 
  • Organize meetings and appointments planning and scheduling  
  • Monitor inventory and manage bottlenecks 
  • Office-related confusion and problem inquiries and response to problems 
  • When needed, undertake reception tasks 
  • Support the Admin & HR Officer in day-to-day activities.


  • Works directly with the PMU Manager and closely with the Admin & Operations Manager in day-to-day Administration matters;
  • In contact with various stakeholders and FMoH for important meetings and handles all appointements planning and scheduling matters.

 Minimum Qualification, Skills and Experience Required:

  • Minimum Advanced technical college in Secretariat;
  • Administrative assistant certified / Modern Office Management, preferred
  • Experience in the office assistant or related disciplines.
  • Ability to describe clearly and assist in word processing as needed. 
  • Warm personality with high communication skills. 
  • Under partial command, capability to work well. 
  • Excellent communication skills. 
  • Proficiency in Microsoft Office Publisher, Word, PowerPoint, Excel and Outlook.
  • Fluency in both written and spoken English and Arabic is required.
