Background: Background:
Under the supervision and management of the Administration and HR Manager, the main role of the External Affairs Officer is to provide a wide variety of interdepartmental office support to either an individual or team and is vital to ensure smooth and efficient running of the First Party’s daily operations. Their duties include liaising with external bodies, drafting letters, . A successfulis External Affairs Officer expected to be punctual, efficient and results driven with well-developed time management skills.

Duties and responsibilities:
KEY TASKS/RESPONSIBILITIES:
- Act as a focal point for all travel and transport-related matters including flight bookings, processing/follow-up of visas, passport registration procedures upon arrival, arranging accommodation requirement.
- Ensure SUDIA travel policy and procedures are consistently met by staff and contractors travelling with the organization.
- Undertake periodic inspection of equipment and office furniture/fixtures and ensure these are properly maintained and in working order.
- Maintain vehicle/generator logs and maintenance schedules/records and fuel stocks.
- Liaising with the Humanitarian Aid Commission (HAC) and other government agencies on business related matters and requirements.
- Ensure the timely payment of fees for utilities and business-related services and ensuren basic services remain uninterrupted.
- Execute banking processes as required.
- Provide support and participate in procurement activities as required.
- Regularly inspect assets and equipment and replace/dispose of unwanted or broken assets/equipment as per procedures and regulations.
- Participate in meetings and undertake other relevant duties/tasks as required.

Minimum Qualification, Skills and Experience Required:
Qualifications & Experience:
- bachelor’s degree in business administration, or related field.
- 1 to 2 years of relvant experience.
- driving licence.
Skills/Abilites:
- Good organizational skills and attention to detail.
- Proficient in Microsoft Office Suite or related software.
- Good written and verbal communication skills.
- Good interpersonal and customer service skills.
- Good time management skills with a proven ability to meet deadlines
